Excel Careers and Excel Interim provide multilingual administrative support staff to companies across all sectors, specializing in profiles such as Receptionists, Management Assistants, Executive / Personal Assistants, HR Assistants, Sales & Marketing Assistants, Office Managers, Customer Service Representatives and Digital Marketing Officers. We provide both permanent and interim contracts.
We are currently recruiting an Excecutive Assistant for one of our clients located in Brussels.
Your responsibilities:
- Receiving visitors and answering phone calls
- Answering all sorts of questions of visitors or callers as well as referring the call to the right person
- Handling and classifying correspondence
- Dealing with overall administrative related matters
- Giving support to different Managers and Directors within their specific dedicated domain (Finance, HR, etc.); by inputting data, preparing presentations, writing letters, controlling data or figures, etc.
- Providing informative and administrative support to coworkers, visitors, clients, etc.
- Performing different tasks such as dealing with expenses, invoices or ordering of materials
- Translating documents
- Writing reports and taking minutes during meetings
- Planning and organizing meetings (management meetings, new product meetings, business meetings) and following up on document flow before and after a meeting according to set rules and procedures
- Booking restaurants, lunches and ensuring travel arrangements
Your profile:
- Bachelor or equivalent combination by education and experience
- Must have at least 5 to 10 years experience as an Excecutive Assistant
- Good spoken and written communication skills
- Fluent Dutch, French and English
- Good in planning and organising
- Flexible
- Service minded
- Proactive and can take on initiatives
- Ability to work with confidential documents
- Accurate
