Acting as the operational backbone of the COO Office, this role combines hands-on execution with strategic oversight, ensuring EGI's multi-entity structure runs smoothly, compliantly, and in alignment with Group standards.Typical activities involve (but are not limited to):1. Entity Governance & ComplianceCoordinate with Legal, Finance, and the Elia Group General Secretariat to prepare, update, and maintain documentation related to the creation, modification, and management of EGI's international entities (subsidiaries and branches).Maintain corporate registers, lists of directors, powers of attorney, and key corporate documents (Articles, MoA, CR12, business licenses, etc.).Support compliance with internal governance policies and external regulatory requirements across jurisdictions (e.g., UAE, KSA, Canada, Malaysia, USA).Prepare and consolidate documentation for audits, internal controls, and Board meetings.Proactively identify potential compliance gaps and propose corrective measures.2. Contract ManagementCoordinate the internal review and approval workflow of contractual matters, including:Service Agreements (with clients or internal group entities)Vendor contracts and consultancy agreementsPartnership and consortium agreementsService-Level Agreements (SLAs) and framework contractsEnsure alignment of contract templates with Group standards, maintain an up-to-date contract register, and track renewal or expiration deadlines.Facilitate cross-departmental review to ensure timely and compliant sign-off.3. Corporate Projects & Process CoordinationSupport the COO in transversal initiatives (e.g. entity lifecycle management, tool alignment, ISO process updates, project governance).Lead small-to-medium improvement projects related to governance, documentation, and process efficiency (SharePoint, Planner, digital workflows).Prepare project documentation, progress dashboards, and management presentations.Ensure follow-up of action plans and internal project deadlines across teams.4. Quality OfficerOwn the yearly ISO 9001 audit process: plan, coordinate, and liaise with auditors and internal stakeholders.Maintain and update EGI's Quality Management System (QMS), including process documentation and improvement actions.Drive a culture of continuous improvement by simplifying and harmonising procedures across entities.Ensure lessons learned from audits and projects are integrated into daily practices.Your responsibilities will be decided based on your competencies and expertise and will be discussed during your interviews with managers.Your profileEducation & ExperienceMaster's degree preferably in Law or a related field.4–6 years of professional experience in corporate governance, project management, or administrative coordination in an international or consulting environment.Understanding of company and financial services laws and regulations; familiarity with ISO or compliance frameworks is a plus.Skills & CompetenciesExcellent organisational and time management skills; able to manage multiple priorities under tight deadlines.Strong analytical and drafting skills (reports, presentations, governance documentation).High attention to detail, with a structured and process-oriented mindset.Tech-savvy and comfortable with digital tools (MS 365 suite, SharePoint, Planner, PowerPoint).Fluent in English; good command of French or German is an asset.Behavioral AttributesProactive and solution-oriented; anticipates rather than reacts.High sense of accountability and ownership of deliverables.Critical thinker with the ability to connect operational details to strategic goals.Team player with excellent interpersonal communication skills.Reliable and disciplined; ensures follow-up and closure on assigned topics.What we offerPermanent contract;Attractive salary package and an extensive array of fringe benefits;Exciting, professional and international environment in a fast-growing company;Unique training, personal development and growth opportunities.At EGI, we value diversity and inclusion.
