We are currently looking for a talented Office Manager (NL/FR/ENG) - part time, to replace our current incredible Office Manager who is leaving soon on maternity leave. We foresee a start early March to ensure a smooth transition and a month of hand-over.

Job Description

As an Office Manager, you will be responsible for ensuring the smooth and efficient operation of our Belgium office during 4-5 months. You will oversee daily administrative activities, coordinate office functions, building management and support HR and finance teams to maintain an organized and productive work environment. This role is crucial in fostering a positive workplace culture and supporting our consultants and management team.

Your Responsibilities:

  1. Manage office supplies, facilities, and vendor relationships to ensure a well-functioning workspace.
  2. Oversee office and parking maintenance and ensure the daily preparation of the office for meetings.
  3. Coordinate logistics around different events or training (food, space organization, etc).
  4. Manage contracts and relationships with service providers (cleaning, catering, office supplies, etc.).
  5. Assist in onboarding new employees by coordinating access badges, office equipment, phone ordering, car delivery and welcome kits.
  6. Act as the point of contact for employees regarding office-related inquiries.
  7. Manage office budgets, expenses, and invoicing processes in collaboration with the finance department.
  8. Handle petty expense reports for office-related purchases.
  9. Negotiate contracts with suppliers to optimize costs while maintaining quality.
  10. Support marketing initiatives by coordinating internal and external company events.
  11. Manage meeting rooms, catering, and travel arrangements for employees and executives.
  12. Work closely with IT support teams to ensure office equipment such as printers, telecommunication systems, and video conferencing tools are operational.
  13. Report directly to the CFO.

  2. Excellent interpersonal skills as you will work closely with everyone in our organization (consultants, HR, Finance, management).

  4. Excellent communication skills in English, Dutch, and French.
  5. Proficiency in Google Office Suite and office management tools.
  6. Attention to detail and ability to handle confidential information professionally.
  7. Integrity and discretion are important to you.
  8. You like to work in a team.
  9. For this role, we expect a regular presence in the office (3 days/week and depending on events).
