The Site Management and HR Assistant role will organize and coordinate administration duties, office and HR procedures. This role will support maintaining a pleasant, safe, and compliant work environment, ensuring high levels of organizational effectiveness, communication, and stakeholder orientation. This person will support the site HR function as well as provide back-up to the site reception function.
Key Responsibilities:- Ensure site entrance, cafeteria, meeting rooms, and shared office are kept in order and refreshments, small supplies are available.
- Coordinate site events and host site visits.
- Follow up and guide employees through all their requests about their ticketing requests to the Shared Service Center.
- Collect all relevant data for payroll administration and work closely with the Shared Service Center.
- Provide support (locally and globally) with all staff benefits: medical insurance, meal vouchers, pension plan, merit increase, etc.
- Provide guidance on administrative and payroll assistance/orientation (absences, maternity leave, parental leave, requests for part-time work, social documents, medical visits, etc.).
- Organize and schedule a variety of onsite training in collaboration with other stakeholder groups, such as the Shared Service Center.
- Support hiring managers in the recruitment process, which may include drafting job descriptions, managing the workflow in our HRIS, and coaching for effective interviews.
- Support the onboarding process and identify areas for continuous improvement.
- Support the HRBP in managing HR processes (performance, training, indexation, new policies, payroll, etc.) and policies.
- Work closely with Shared Services to ensure Worker Council monthly, quarterly, and annual presentations are provided on time and contain all relevant information.
- Support HRBP in reporting HR KPIs (turnover, absenteeism, HR Survey, reports, etc.).
- Coordinate group internal communication (posters, e-mails), promotional material as a member of the communication group (Basel), and ensure proper and timely distribution.
- Act as the SPOC (Single Point of Contact) for site internal communication (e.g., news of the week, TV screen, official boards (canteen, floor)).
