- Manage incoming emails, correspondence, and inquiries; respond on behalf of the executives when necessary.
- Take ownership of a diverse range of tasks including travel bookings, meeting room arrangements, and minute-taking during meetings.
- Act as a gatekeeper, managing the Directors' schedules and ensuring they are well-prepared for all engagements.
- Handle communications with external parties such as notaries and advisors, exercising diplomacy and tact.
- Effectively manage company compliance files and ensure all regulatory requirements are met.
- Preparing reports and presentations as needed.
- Maintain confidentiality and handle sensitive information with discretion.
- Demonstrate a proactive approach to problem-solving and decision-making.
- Maintain a controlled and organized environment, supporting the Directors in their daily operations.
- Display strong interpersonal skills, able to navigate and resolve conflicts or pushback effectively.
- Proven experience as a Personal Assistant or similar role, supporting senior executives.
- Strong organisational and time-management skills, with the ability to prioritise tasks.
- Effective verbal and written communication skills in English and French; proficiency in German is advantageous.
- Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to work independently and under pressure, with a proactive and solution-oriented mindset.
- Assertiveness and diplomacy in managing relationships with stakeholders.
- An education in Business Administration, Management, or a related field preferred.
