The Opportunity: Our client is seeking a proactive and dynamic Personal Assistant to support two Directors of the business this role requires an assertive individual with the ability to manage a wide range of executive management tasks, independently handle sensitive correspondence, and respond to inquiries on behalf of the executives. The ideal candidate will be assertive yet diplomatic, capable of handling strong personalities and able to effectively exchange with notaries and external parties. You must possess strong problem-solving skills, be proactive and decisive, and demonstrate intellectual rigor in handling compliance files and sensitive information. Discretion and a low-profile approach are crucial. The Role:
  • Manage incoming emails, correspondence, and inquiries; respond on behalf of the executives when necessary.
  • Take ownership of a diverse range of tasks including travel bookings, meeting room arrangements, and minute-taking during meetings.
  • Act as a gatekeeper, managing the Directors' schedules and ensuring they are well-prepared for all engagements.
  • Handle communications with external parties such as notaries and advisors, exercising diplomacy and tact.
  • Effectively manage company compliance files and ensure all regulatory requirements are met.
  • Preparing reports and presentations as needed.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Demonstrate a proactive approach to problem-solving and decision-making.
  • Maintain a controlled and organized environment, supporting the Directors in their daily operations.
  • Display strong interpersonal skills, able to navigate and resolve conflicts or pushback effectively.
The Profile:
  • Proven experience as a Personal Assistant or similar role, supporting senior executives.
  • Strong organisational and time-management skills, with the ability to prioritise tasks.
  • Effective verbal and written communication skills in English and French; proficiency in German is advantageous.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and under pressure, with a proactive and solution-oriented mindset.
  • Assertiveness and diplomacy in managing relationships with stakeholders.
  • An education in Business Administration, Management, or a related field preferred.
