Skills, knowledge, experience required:

  • A minimum requirement of a Bachelor's degree at a nationally recognised/certified University in a related discipline and 2 years of postrelated experience;
  • Proven experience in:
  • Service or project management including resource management (people, budgets, time, etc.) in a training environment;
  • Customer focused roles and customers relationship management;
  • A recognised formal Project Management qualification, such as PRINCE2 or PMP. The lack of formal qualifications can be compensated by the demonstration of expertise and experience in the domain;
  • Prior experience with:
  • Agile project management;
  • Business Development;
  • Proven analytical skills to produce meaningful business intelligence for decision makers using BI tools such as Tableau;
  • Excellent Microsoft Office skills and in particular advance Microsoft Excel skills;
  • Ability to:
  • Take responsibility for actions, projects and people; take initiative and work under own direction; initiate and generate activity and introduce changes into work processes; make quick, clear decisions which may include tough choices or considered risks;

  • Willingness to share the knowledge and support smooth handover to newly recruited staff within the Business Planning Branch and beyond;
  • A thorough knowledge of one of the two NATO languages, both written and spoken, is essential, most of the work of the NCIA is conducted in the English language.

Desirable:

  • Practical experience in working for other NATO agencies or organizations;
  • Prior experience of working in an international environment comprising both military and civilian elements;
  • Knowledge of NATO responsibilities and organization, including ACO and ACT;
  • Excellent understanding of NCIA processes and procedures relating initiating and staffing projects in the NCIA (E.g. Customer Request Forms, Request to Proposals, Price Proposals, EBA, etc.);
  • Evidence of prior experience and indepth knowledge of the ServiceNow Project Management tool;
  • Prior experience and indepth knowledge of the NCIA Enterprise Business Applications (EBA);
  • Prior experience in Business Relationship Management and Design & Creative Thinking.

Duties/role:

  • Supporting the daytoday operation of NCI Academy business activities using appropriate project management principles, processes and tools;
  • Supporting the definition, execution and satisfactory completion of assigned projects, including the identification, assessment and management of risks and issues related to the project;
  • Ensuring that realistic project plans are maintained and that there is regular and accurate communication to stakeholders;
  • Managing, monitoring, and controlling assigned projects;
  • Providing support for understanding customer requirements, collecting data, delivering analysis and problem resolution;
  • Collaborating with stakeholder groups, as part of formal or informal consultancy agreements;
  • Maintaining a customer focus, acting as a customer focal point to deal diplomatically on a variety problem management and businessrelated issues;
  • Contributing to Academy customer engagement activities;
  • Drafting and managing Business Planning Branch documentation and in particular Service Support Training Agreements;
  • Providing monthly report to the Project Portfolio Manager using NCIA reporting tool/framework;
  • Ensuring that assigned projects are formally closed and, where appropriate, subsequently reviewed, and that lessons learned are recorded;
  • Generating the quarterly training delivery reports and liaising with the Agency Finance staff to ensure quarterly training delivery invoices are accurate and delivered on time to the appropriate recipient;
  • Contributing to the Business Planning Branch business intelligence and SharePoint web/portalpage;
  • Performing other tasks as may be assigned.
