Duties:

Job holder reports to the Senior Facility Manager and acts as Administrative Assistant for the Facility Management (FM).

As the responsible office manager, ensures that invoices for contractor services are accurate and complete, types correspondence and communications.

Maintains complete files and records for FM office procurement and contracting activities, keeps time and attendance for 32 employees and ensures that all work within the Facilities Office, Functional Office Building and Residential Maintenance Sections is accomplished in a timely manner.

Monitors petty cash purchases.

Qualifications and Evaluations:

EXPERIENCE:
A minimum of three years of progressively responsible administrative experience.

JOB KNOWLEDGE:
A good working knowledge of office administration and understanding of the organization's programs and procedures.

Must be an effective office manager and able to coordinate the work of office sub-units and track and schedule work between service providers.

Completion of high school or the equivalent.

  • Evaluations:

LANGUAGE:
Good working knowledge in English. This may be tested.

SKILLS AND ABILITIES:
Experience with computers is required.

A good working knowledge of Microsoft products such as Windows 10, Word, Excel, Access, MS Outlook, Power Point and Project Scheduling.
