What You Will Achieve


Provide logistic and administrative support to a group lead and her team and proactively contribute in preparing, processing, following up and ending activities in order to facilitate and optimize the category department achievements.

Key responsibilities

  • Take a central role in the logistic and administrative tasks of the oncology department for medical, customer facing colleagues and marketing. Provide logistic support to entire team.
  • Follow up all administrative procedures through Pfizer's internal systems (contracts, purchase orders, suppliers, epayments, )
  • Follow up of promotional materials process in support of CBLs (product managers): contact with Staci
  • Management of recurrent meetings planning
  • Be a key driver in meetings for logistics setting, welcoming visitors, distribution of the agenda, meeting minutes and follow up of action
  • Work in close cooperation with the legal team for a final review to be 100% compliance with all Pfizer compliance policies and procedures.
  • Support team members with logistic requests: badges, attendance sheet, etc.
  • Spontaneously analyze and tackle organizational inefficiencies / Proposals and implementation of organizational improvement/Challenge processes in order to streamline and simplify them
  • Play a central role in enabling teamwork and collaborative/inclusive culture within the team
  • Follow up on medication requests (e.g. Lorlatinib, Ibrance & Inlyta)
  • Logistics for national meetings: stand, briefing
  • Congress and corporate sponsorship organization
  • Support for the onboarding and offboarding of the new comers and leavers within the team
How You Will Achieve It

  • Create agendas, schedule appointments and issue meeting minutes when appropriate or as requested for meetings and conference calls.
  • Suggest and implement process improvements for administrative tasks carried out across the department.
  • Facilitate resolution of difficult issues and problems that arise within scope of responsibilities.
  • Handle all duties with a high degree of integrity, professionalism and confidentiality.
  • Organize documents and maintain an inventory of electronic and hard copy files allowing for easy access.
  • Provide administrative/secretarial support and serve as backup administrative/secretarial support for other departments, when necessary.
  • Manage purchase orders through Ariba system and tracking invoices.
  • Manage setup and logistics for large or offsite meetings.
  • Identify, evaluate, and partner with costeffective vendors in the execution of the activities
  • Ensure accuracy of work and use judgment to determine work methods in different situations.
  • Proactively and independently organize and expedite workflow and initiate followup
  • Contribute ideas, fostering pace and enthusiasm, negotiating timely execution of work.
  • Take personal accountability for quality of own work that impacts the department, manages own time, professional development, prioritize workflow.

Qualifications:

Must-Have

  • High School Diploma or GED; Graduate in Office Management or equivalent experience in the field of administration, secretarial work or office management
  • 3+ years relevant experience
  • Fluent in English, French, Dutch (spoken and written)
  • Demonstrated planning and organizing skills; serviceminded attitude
  • Excellent attention to detail and interpersonal skills; team player with positive mindset; works autonomously
  • Excellent judgment as well as the ability to work with confidential documents and information
  • Proficiency in Microsoft Office Suite required, especially PowerPoint, Excel, Word, and other features
Nice-to-Have

  • Bachelor's Degree
  • Prior experience as an Administrative Assistant supporting executive leadership in a global organization
  • Knowledge of the pharmaceutical industry and healthcare environment
