Trip Planner / Mission Travel Coordinator (Anticipated Position)

Department: Client Site Programs - Defense

Clearance: Active TS/SCI

Background:

Navanti is looking for a Trip Planner / Mission Travel Coordinator to provide detailed administrative and logistics coordination in support of Department of Defense personnel, senior leaders, and mission activities in Mons, Belgium and throughout the EUCOM Area of Responsibility.

The Trip Planner will coordinate official travel requirements, synchronize transportation and lodging arrangements, support access and clearance requirements, and develop comprehensive trip booklets and travel packages to enable seamless mission execution.

The position will support personnel operating in a joint, multinational, and NATO environment and will coordinate with command staff, action officers, security personnel, protocol staff, transportation providers, lodging facilities, and other U.S. Government and partner stakeholders.

Core Responsibilities:

  • Coordinate end-to-end administrative and logistical requirements for official DoD travel, including air, rail, ground transportation, lodging, drivers, and installation transfers.
  • Develop and maintain comprehensive trip booklets, itineraries, travel packages, and read-ahead materials for travelers and senior leaders.
  • Coordinate with command staff, action officers, executive assistants, protocol, security, operations personnel, U.S. Government organizations, NATO elements, and partner stakeholders to synchronize travel requirements.
  • Manage visit requests, VALs, clearance verification, installation access, country/theater clearances, passport and visa requirements, SOFA-related actions, and other OCONUS travel documentation as applicable.
  • Maintain travel trackers, schedules, manifests, contact rosters, and other administrative tools to provide visibility of planned and ongoing movements.
  • Monitor travel execution and rapidly coordinate changes to transportation, lodging, meetings, and other logistics requirements in response to evolving mission needs.
  • Support senior leader engagements, Distinguished Visitor movements, conferences, exercises, working groups, and other command activities requiring coordinated travel.
  • Prepare and maintain travel-related correspondence, briefing materials, administrative documentation, and post-travel AAR or lessons-learned inputs as required.

Minimum Qualifications:

  • 5+ years of relevant experience in military, DoD, Federal Government, contractor, logistics, travel coordination, executive support, or administrative support functions.
  • Demonstrated experience coordinating complex travel requirements involving multiple locations, organizations, and stakeholders.
  • Experience developing detailed itineraries, trip books, travel packages, briefing books, or similar executive-level administrative products.
  • Demonstrated ability to manage multiple concurrent actions, schedules, and suspenses in a high-tempo environment.
