Our client, a leading international law firm, is seeking a Practice Team Assistant to join their Brussels office.

The Opportunity

As the first point of contact for clients and visitors, you will play a vital role in creating a professional and welcoming environment while providing essential administrative support to a busy team.

Key Responsibilities

Administrative & Secretarial Support

  • Provide comprehensive administrative and secretarial support to professionals and support teams
  • Coordinate internal and external meetings, including room bookings and attendee management
  • Arrange domestic and international travel, transportation, catering, and courier services
  • Prepare and process expense reports, reimbursements, and related documentation
  • Assist with document preparation, formatting, proofreading, and correspondence
  • Support file management, document scanning, electronic filing, and record maintenance
  • Update and maintain contact databases and CRM records
  • Handle confidential and sensitive information with discretion and professionalism
  • Assist with ad hoc projects and administrative initiatives as required

Reception & Hospitality

  • Manage the day-to-day reception function
  • Welcome clients and visitors, ensuring an outstanding first impression
  • Coordinate meeting room setup and hospitality arrangements
  • Organise deliveries and office logistics
  • Maintain excellent presentation standards across reception, meeting rooms, and communal spaces

Requirements

  • Minimum 3 years' experience in an administrative, secretarial, or team support role, ideally within a law firm
  • Fluent English plus French or Flemish (both advantageous)
  • Strong organisational and communication skills
  • Professional, proactive, and highly service-oriented
  • Excellent attention to detail and ability to manage multiple priorities
