Role Overview

The Finance & Admin Trainee will support NAAMII’s financial operations and administrative functions, including documentation, bookkeeping assistance, procurement support, logistics, and organizational record keeping. This role provides exposure to NGO/Research Institute finance systems and office administration.

Key Responsibilities

  • Finance & Administration Support
  • Assist in processing and organizing financial documents (invoices, receipts, bills).
  • Data entry of financial transactions in accounting spreadsheets or software.
  • Support in maintaining petty cash records and preparing expense reports.
  • Assist in reconciliation of payments and financial documentation.
  • Help prepare financial reports and documentation for audits.
  • Coordinate with vendors, suppliers, and staff for financial paperwork.
  • Support in tax recording and return filling and payments.
  • Procurement & Inventory
  • Assist in procurement processes including quotation collection, vendor follow-ups, and preparing procurement files.
  • Help maintain inventory, asset tracking, and stock registers.
  • Administrative Support
  • Support day-to-day office administration, logistics, and facility coordination.
  • Assist in scheduling meetings, workshops, and events.
  • Help ensure smooth office operations by coordinating with staff and visitors.
  • Documentation & Reporting
  • Maintain organized digital/physical filing systems.
  • Assist in preparing administrative reports and summaries.
  • Support documentation for projects, grants, and compliance requirements.
  • Support to Head of Operations
  • Provide administrative and logistical support as needed.
  • Assist with internal coordination between HR, Finance, and Operations teams.

Key Competencies

  • Strong organizational and time-management skills.
  • Good communication skills in English and Nepal (written and verbal).
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Willingness to learn and adapt quickly.

Qualifications

  • Currently pursuing (final semester) or recently completed a bachelor’s degree in business administration, Accounting, Management, or a related field.
  • Basic understanding of finance or accounting principles.
  • Good communication and organizational skills.
  • Basic Proficiency in MS Office applications.
  • Strong attention to detail and reliability.
