Congress Programme Assistant for a three-month period March-May 2025 - located in Brussels

Your role is to help the Programme team with the execution of the high-level and technical programme by ensuring that the speaker management system is up-to-date and all preparations for the programme for a European Congress are finalised in an efficient and timely manner.

Your main responsibilities:

  • Send out invitation letters to the high-level speakers and follow up on responses, and send reminders if needed
  • Help in preparing and sending out speaker and moderator briefings
  • Organising preparatory calls with speakers and moderators if needed
  • Preparing slides and content for meetings (Programme Committee meeting input / surveys, etc.)
  • Help with the organisation of the high-level Summit: sending and following up of invitations, database management, mailing briefings, etc.
  • For the technical programme, help in notifying contributors of the status of their contributors

The candidate should have:

  • Excellent verbal and written English skills
  • Excellent knowledge of Microsoft Office programmes (Word, Excel PowerPoint)
  • Knowledge of website content management systems (CMS), especially WordPress
  • Knowledge of social media channels and online tools (LinkedIn, Mailchimp, SurveyMonkey) creative tools such as Canva is an advantage

  • Knowledge of EU institutions is an advantage
