Professional Assistant for An International Law

Our client is an international law firm with several offices worldwide. Their Brussels is centrally located, therefore easily accessible by public transport and employs +/- 15 staff (7 different nationalities). They are today recruiting a diligent Assistant to support a team of Lawyers.
**PURPOSE OF THE ROLE**
- Providing consistent high-quality administrative support to assigned Professionals, in addition to assisting other departments/practices areas within the firm as requested
- Teaming up with another Assistant
**JOB DESCRIPTION**
- Performing secretarial and administrative duties for the lawyers
- Handling incoming calls, taking messages
- Copying, faxing, scanning, converting (PDF) documents as necessary
- Handling incoming and outgoing mail
- Maintaining the filing system, office records, etc.
- Preparing expense reports and submitting them to the Office Manager
- Making travel arrangements, including preparing itineraries, obtaining visas, etc.
- Assisting in scheduling conference calls and meetings, booking meeting rooms for in-house meetings, handling all arrangements for meetings (setting up conference phone, laptop, projector, etc.), ordering the catering when necessary
- Maintaining the appointment calendars in Outlook
- Establishing and maintaining an efficient desk systems and procedures to ensure efficiency, maintaining an organised work area
- Handling sensitive and confidential matters in accordance with firm’s policies
- Following up projects, ensuring the respect of deadlines
- Preparing legal correspondence, documents, punctually assisting with some research
- Proofreading and finalizing documents
- Handling other duties as assigned
**PROFILE**
- Fluency in English and French (C1 minimum for both - oral and written)
- You already possess at least 2 years of experience in a similar role, ideally acquired in a law firm or within professional services in general
- You have strong administrative, organisational and IT skills (MS Office, internet)
- You are autonomous with a professional attitude
- You can liaise with people at all levels and work in a collaborative way with colleagues and supervisors
- You have strong communication skills
- You can handle confidential information with the utmost discretion
- You are an accurate and punctual individual
- You work well in a team environment, you accommodate changing priorities and exercise sound judgement
