The Administration Assistant will work under the supervision of the Executive Assistant to the Leadership team in providing secretarial/administrative support, exercising confidentiality, tact and diplomacy.

Accountabilities:

- Manages office supplies inventory and address purchase requests to indirect procurement (Distribution Center), purchase of printed documents (business cards).
- Supports for the Digital Signage Solution (DSS) update.
- Ensures adequate shipment of daily mails and assist accounting team in handling received mails.
- Organizes adequate Belgian office areas management: identify issues or improvement opportunities and address repair or cleaning requests, ensure meeting room material availability, organize office/desk preparation for new hires, partner with HR to maintain office policies as necessary.
- Coordinates for the Safety training to organize with the external Safety and Prevention Service.
- Supports for all internal projects such as “Vis ma Vie”.
- Supports for the preparation of responses to routine correspondence and inquiries.
- Maintains files, records, calendars and diaries.
- Support in arranging business travel, coordinating meeting arrangements and tracking expenses
- Participates in the development and implementation of secretarial standards, policies and practices for the organization.
- To operate in line with company policies and procedures, especially relating to quality management system, the company ethics program and the company’s health, safety and environmental policies._

Skills & Knowledge:

- At least 1 year’ experience in an administrative assistant role
- Organizational and time management skills
- Microsoft Office suite advanced level user
- French & English speaker

- Handling the diaries & workloads for multiple executives
- Planning and task execution skills

Our offer:
This exciting position is a Global Grade 7 and offers a salary of between €35,000 and €50,000 (payable in 13.92 instalments). Please be aware that this range represents the pay range for all positions within the job grade in which the post falls. The actual salary offer will consider a wide range of factors, including skills, experience, and location (country). We also offer the following benefits:

- A Bonus Plan with a target of 5% of the annual salary;
