**The Role / Person**:
The role location is hybrid, home working is welcomed, but you must be able to work from the Brussels office when necessary. Initially we are looking for a somebody on a Temporary contract for a minimum of 3 months but for the right individual the role can become permanent.

We are looking for a highly organised individual who can work independently with a high degree of maturity and resilience. You will be a fluent English speaker and speak a second language (in order of preference French, German, Dutch).

**Detailed Responsibilities**:
Support:

- Manage and maintain the Chairperson's calendar, schedule appointments, and prioritise meetings and events across a multitude of timezones
- Coordinate travel arrangements, including flights, trains, accommodation and transportation to maximise effective face to face time and minimise travel time - balanced with mínimal carbon emissions wherever possible
- Organise conference and event passes where applicable
- Arrange appropriate restaurant reservations
- Process expense claims on a timely basis
- Prepare and organise documents, presentations, and briefing materials relevant to the Chair's meetings and engagements.
- Ensure cover should the executive assistant be out of the office as well as delegation of any key Chairperson tasks when they are out of the office.

Communication, Correspondence and Diary Management:

- Diary management: ensure time is set aside during the working week for one on one sessions with staff members (‘open door policy’ to everyone) as well as blocks of time for actual work
- Continuously prioritise diary arrangements throughout the course of each week to ensure clients, partnerships are of primary importance wherever feasible
- Ensure timely and effective communication between the Chair and internal and external stakeholders including the press, clients, external advisors, future board members and the internal executive leadership team.

Confidentiality and Information Management:

- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain and organise electronic and physical files, ensuring easy access and retrieval.
- Establish and maintain a system for tracking deadlines, deliverables, and follow-ups.
