**Job Summary**
The Government and Intergovernmental Organizations (IGO) Engagement Operations Coordinator position supports strategic government and IGO engagement efforts with European governmental institutions and the governments of the European Union (EU) member states through planning, administration and operations and logistics work regarding assigned government and IGO representatives and institutions and specific cross-functional projects as assigned by the reporting manager.
The position requires excellent organization, strong communication, and extensive coordination skills.
**Key Responsibilities and Duties**
Perform assignments managed by the Government and IGO Engagement function, including but not limited to:
- Support the planning, prioritization, and delivery of government engagement activities, focused on but not limited to the activities in Brussels, Geneva, Vienna, and Athens.
- Support other ICANN community and Internet Ecosystem projects which involve or otherwise require the assistance of the Government and IGO Engagement function, including specific cross-functional projects as assigned.
- Develop administrative and operational expertise using approved platforms, software, and tools to ensure efficient and effective progress of assigned ICANN government engagement work
- Coordinate multiple projects in parallel, managing administrative and operational workflows to maximize efficiency.
- Schedule and support teleconferences, webinars, and in-person meetings, including follow-up work as needed such as tracking action items, retrieving records, etc.
- Perform outreach functions to secure appointments and confirm logistics for politically sensitive governmental meetings.
- Assist with the creation, updating, and publication of agendas, documents, briefing materials, manuals, presentations, spreadsheets, and other materials.
- Manage and maintain wikis, calendars, shared documents, mailing lists, and other collaborative tools deployed for assigned ICANN government engagement work and specific cross-functional projects.
- Develop reports, engagement profiles and Salesforce CRM records, perform regular audits and analysis, and maintain relevant data via relations management software.
- Liaise with other internal organizational functions and community representatives and leaders to pro-actively resolve problems and enhance coordinate efforts.
- Other duties as assigned or requested.
**Required Knowledge, Skills, and Abilities (KSAs)**
- Experience working with government and diplomatic staff.
- Excellent organization, strong communication and extensive coordination skills with a stakeholder focus.
- Proficiency using Slack, Salesforce, Microsoft Office (Excel, PowerPoint, and Word), and Google Drive. (Google Docs, Google Forms, Google Sheets, and Google Slides).
- Strong project coordination skills.
- Detail-oriented and organized with the ability to multitask.
- Ability to work with highly diverse workforce.
- Ability to work independently.
- Ability to handle confidential matters with discretion.
- Curiosity and passion for the development of the Internet.
**Education and Experience Requirements***:
- Bachelor’s degree preferred, High School diploma or international equivalent required.
- Minimum two years of related administrative experience or equivalent required, if no degree, equivalent years of experience required.
- Higher educational attainment can be substituted for some work experience.
- Fluency, both written and spoken, in English is required.
- Fluency, both written and spoken, in a UN language other than English is required.
**Working Conditions & Physical Requirements***:
- International travel may be required to support ICANN-related meetings as requested for lengths of 7-10 days for each trip, approximately three times per year, likely on different continents.
- Willingness and ability to travel domestically as needed.
- Comfort with an international work environment that may requires availability at times outside normal business hours or over the weekend.
