ClinChoice, is searching for a **Clinical Supply Associate** to join one of our client-based teams at a leading global biopharmaceutical company, with a focus on the fields of neurology and immunology.
The Clinical Supply Associate will support the implementation and management of sustainable and strong alliances within an agile and flexible network of internal & external capabilities, ensuring that clinical trial specifics needs are met. The scope of the network covers critical suppliers and vendors offering services for IMP pre-finished goods activities (e.g. blistering); IMP labeling and packaging; logistic and distribution activities related to the clinical study needs; comparator sourcing, packaging & distribution; ancillaries/Medical Devices sourcing, kitting and distribution.
**Main Job Tasks and Responsibilities**:
- Manage the vendor process-related indicators and financials, assigned to the vendors and studies.
- Support the Clinical Supply Network management activities - including but not limited to ensuring monthly calls or support weekly calls, reviewing KPIs and driving improvements.
- Follow the ENG process for vendor management, ensuring visibility of the KPIs, completing risk assessments and other activities as required.
- Support financial-related topics for all related clinical vendors/suppliers.
- Responsible for study setup activities at vendors.
- Support or lead stakeholders in the management of key suppliers to deliver the optimal strategy to meet clinical trial-specific needs by leveraging team knowledge and key drivers.
- Work with Vendor Teams to deliver the optimal strategy to meet clinical trial-specific needs by leveraging team knowledge of the key drivers.
- Provide oversight of vendor life cycle management, as per ENG governance, for Vendors and critical suppliers: introduction of new Vendor or critical Supplier, maintenance, performance follow-up and discontinuation.
- Ensure sustainable and cost-effective study implementation into the company network of vendors and critical suppliers to ensure optimal supply.
- Quote management and PO placement.
- Invoice follow-up and approval, as well as overall invoices/accruals tracking.
- Containing production and management of required documents.
- Accountable for maintaining vendor/supplier management governance, to ensure efficient and agile vendor management.
- Preparation asof KPIs and their recording into tracking systems, preparation of annual risk assessments, and other activities as required.
- Integrating policies and regulatory guidance into effective processes and procedure.
- Support the transversal "Vendor Team" of applicable vendors or suppliers to ensure optimal and efficient management of the operational activities with vendors/suppliers. Act as a leader for some key suppliers.
- Support to ensure any concerns/issues/deviations/complaints are addressed and action plans are defined.
- Maintain effective collaborations within the department, with key stakeholders.
- Lead initiatives and projects to improve the efficiency of vendor management using theoretical concepts and adapting them according to the Clients requirements.
- Conduct internal communication related to Clinical Supply Partnering Team activities.
- Back-up activities of the department when required.
**Education and Experience**:
- APICS - CPIM Certification (desirable).
- Master's Degree.
**Specific Role Requirements and Skills**:
- Basic understanding of financial management.
- Understands vendor management and sourcing processes.
- Relationship management and organizational skills.
- A working knowledge of all international regulations.
- Strong communication and presentation skills (verbal and written) facilitation skills.
- Strong verbal and written communication skills, mainly in English.
- Proven teamwork and collaboration skills, including the ability to coordinate and manage both internal and external resources and establish credibility with internal and external management.
- Disciplined, high sense of urgency and problem solver; knows how and understands why to prioritize tasks that would block operations and/or jeopardize patient customer service while keeping the discipline to follow strictly the routine tasks (daily, weekly, monthly).
