**Job Description Summary**:
**General Summary**:
Provides a wide range of general secretarial and administrative support tasks to the sales and marketing team members of different business units.

Supports a number of specialist tasks, specifically related to the functional areas of account management and marketing, such as commercial offers, compliance management, data analysis and process execution. You will be responsible for the administrative follow up and day-to-day support of different supporting marketing, procurement, and compliance programs.

**Your responsibilities**:

- compliance related requests,
- Product complaint follow-up,
- contracts, contract renewal & tender management support,
- travel (HCP flight and hotel bookings),
- congresses (manage registrations, on time delivery of materials)
- purchases (P.O. creation, ordering and follow-up)
- expenses and basic accounting tasks (=discretionary budget Control)
- prepare documents for external or internal communications
- You are also responsible for ordering required material/services via the internal systems and ensure timely payment for these orders
- You are also responsible for the compliance management system for de dedicated business units, in collaboration with the business and the compliance officers.
- You will initiate, follow up, monitor and closure the timely payment of services provided by internal and external partners.
- You use your excellent organization skills to support projects independently and resolve problems associated with these projects.
- Provides administrative support to staff in areas of confidential correspondence, file management, makes travel arrangements appointments, prepares expense reports, keeps meeting calendar, orders equipment supplies, handles telephone conversations, types, files, copies, enters data, scans and faxes, opens, sorts, prioritizes and distributes incoming communications, maintains calendar(s) and arranges meetings (book rooms, order lunches, ).
- Prepares and organizes department files including communications, presentations, spreadsheets, documents and reports.
- Works with employees to resolve problems: takes initiative to follow up on relevant issues and proactively informs on the status.

**Qualifications**:

- Bachelor degree or above (or equally through experience).
- Proficient in MS Office, CRM, IT tools
- Positive team player, dynamic and entrepreneurial person who enjoys a variety of general admin as well as more specialist support tasks.
- He or she is able to prioritize and can deal with deadlines as well as a high level of ambiguity and change.
- Client service should be excellent for both the internal and external clients. Enjoys working in a meticulous way and with respect for existing processes. At the same time, seeks to continuously improve current ways of working and comes with suggestions on how to.
- Has a high sense of urgency and proactively takes initiative to drive things forward.
- Given the specific nature of the Commercial Excellence and Account Management related tasks, a very analytical profile is required.
- High proficiency in Dutch, French and English is necessary.
