Reporting to the EMEA Payroll Manager, you will be responsible for payroll operations for multiple countries within the EMEA region. Your primary focus will be on ensuring accurate and compliant payroll processing, coordinating with local payroll providers, as well as special projects, including implementing an open multi-country payroll management platform concurrently with payroll provider changes in select EMEA countries. This role requires demonstrated understanding of EMEA payroll legislation, attention to detail, and the ability to handle complex payroll scenarios across different countries.
This is a **12 months fixed term contract** hybrid position - 3 days in office (Diegem), 2 days homeworking
RESPONSIBILITIES
- Support continuous improvement projects and initiatives in processes and systems, specifically the implementation of a payroll management platform concurrently with payroll provider changes in select countries.
- Prepare monthly data input for all assigned payrolls, ensuring accuracy and timeliness of payments.
- Collaborate with local payroll providers to collect and validate payroll inputs, including salaries, benefits, allowances, and deductions.
- Review and validate payroll calculations, including statutory deductions, bonuses, and overtime, for each country. Reconcile and validate payroll outputs, including payslips.
- Coordinate payroll data integration between HR systems and local payroll systems, ensuring data accuracy and consistency.
- Conduct periodic payroll audits to ensure data accuracy, identify discrepancies, and resolve any payroll-related issues.
- Liaise with external auditors and tax authorities for payroll-related audits, compliance checks, and reporting requirements.
- Using HR’s portal and case management system (ServiceNow HRSD), responsible for queue management, end-to-end handling of cases and driving case closure
- Provide effective and prompt solutions to internal customer inquiries on a wide array of payroll topics and deliver an excellent customer experience.
QUALIFICATIONS
- Minimum 3+ years of demonstrated experience as an EMEA Payroll Specialist or similar role, with a focus on managing payroll across multiple countries within the region.
- Certification or professional qualification in payroll or related field is an asset.
- Experience processing payroll for UK, Belgium, France, and Italy would be a plus.
- Strong knowledge of EMEA payroll legislation, tax and benefits regulations, and compliance requirements for various countries.
- Experience working with local payroll providers and managing relationships with external vendors.
- Strong analytical and problem-solving skills to handle complex payroll calculations and reconciliations.
- Excellent organizational and time management skills to handle multiple payrolls and deadlines.
- Strong communication and interpersonal skills to effectively address team member inquiries related to payroll.
- Understanding of data protection regulations and confidentiality requirements in handling team member information.
- Fluent in English, knowledge of French and/or Dutch would be nice, any other language knowledge is a plus
