Responsibilities
- **Resource planning**
- Prepare tool for new monthly cycle
- Manage R&C access within Teams channel
- Follow-up on missing resource requests with Project Managers and missing resource allocations with Team Leads
- Prepare, organize and conduct IT Management Resource planning meetings
- Training new Project Managers on how to use the Resource Planning tool
- Fix issues with the Excel Resource Planning tool
- Support users of the Resource planning tool
**Project Portfolio Tracking & Reporting**
- Create new projects in the Portfolio tracker and Jira and Tempo and Resource Planner
- Maintain change to projects in Jira, Resource Planner and Portfolio tracker
- Create Project Portfolio Reports (in Excel)
**Timesheet Management**
- Verify missing timesheets and missing approvals and send reminders
- Final verification of missing timesheets & approvals, Lock & unlock timesheets
- Creation and removal of resources in PMO Tools (Jira and Excel tools)
- 1 week before month end: Check Task Labels
- Manage timesheets correction after the deadline
- Answer user questions about Tempo timesheets tool
- Design Jira improvements (understand requirements, design, provide options with pros, cons and recommendations)
- Coordinate Jira improvements implementation with Jira expert
- Create List of Purchase Orders for Orders IT to create (for external people who log time in Jira)
**Demand Management**
- Prepare and conduct 4-weekly meetings with business to give an update on priority Demands
- Support end users in the Demand management tool (questions/issues/ ) in collaboration with the Ivanti Administrator
Our ideal Profile?
A few years experience in an internal IT Department & in a Project Management Office role
- Experience in resource planning
- Can work with Jira and the Jira plug-in 'Tempo for Timesheets'. Altough skills and a growth mindset are more important as we can train you in Jira.
- Excellent Excel skills (proficient with pivot tables, sumifs, charts,...)
- Ideally some SharePoint admin experience
- A nice to have: end-user experience with Ivanti
