**What is a Junior Corporate Assistant?**
A Junior Corporate Assistant supports corporate clients by managing their daily requests and demands. Responsibilities typically include arranging travel and luxury holidays, coordinating social activities, providing access to the latest fashions and hottest destinations, booking tickets to award-winning shows, managing the diary, making reservations at the trendiest new restaurants, organising events, conducting personal shopping, scheduling appointments, and running errands, among other tasks. As a Junior Corporate Assistant, you will be responsible for managing the team’s schedule, supporting client communications, maintaining client feedback and renewal records, and providing administrative support to our customer service team. Your contributions will ensure smooth operations and high levels of client satisfaction.
**Job description**:
As a Junior Corporate Assistant at Quintessentially, you will play a pivotal role in managing and cultivating strong relationships with our high-profile members. Your primary responsibility will be to proactively engage with them on a regular basis, ensuring their needs and preferences are thoroughly understood.
**Key responsibilities**:
- Team Schedule Management: Organize the team’s calendar, including scheduling appointments and coordinating follow-ups with suppliers to ensure timely execution of tasks.
- Member communications: prepare proactive communication materials for clients, ensuring that they receive timely updates and relevant information about our services.
- Member renewals & feedback: maintain up-to-date records of client renewals and feedback, ensuring that all client interactions are documented and followed up appropriately.
- Administrative support: provide administrative assistance to the customer service team, including handling documentation, data entry, and other related tasks to support the team's efficiency.
- Establish and build strong relationships with high-profile members, acting as their primary point of contact within Quintessentially.
- Demonstrate a deep understanding of each member's unique lifestyle, preferences, and specific requirements to offer tailored and personalised services of the highest quality.
- Maintain utmost confidentiality and professionalism in handling sensitive client information, ensuring their privacy and trust are preserved at all times.
- Collaborate with our international suppliers and partner offices to offer exclusive benefits and privileges to our members.
- Stay updated on the latest trends in luxury living and share relevant information with our members.
**Requirements**:
- Professional knowledge of Dutch, French and English
- Excellent communication skills, both written and verbal
- Strong organizational skills with attention to detail - multiple tasks efficiently
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Friendly, courteous and confident at communicating with people, including international partners
- Always ready to be proactive and help members with their needs
- Excellent team player; displays compassion towards and enjoys helping fellow colleagues
- Passionate about the luxury industry and what's trending
- Able to prioritise, meet deadlines, make decisions and communicate effectively under pressure
- Able to react and adapt quickly to new requirements and processes
- A positive attitude and a willingness to learn and grow within the role
**Hours of work**:
Monday - Friday / 09:30 - 18:00
