Als Project Management Officer maak je deel uit van het Project Delivery Office. Je biedt de procesactoren ondersteuning bij de project delivery-processen, de tooling en de financiële processen zodat zij mede door jouw hulp en expertise de projecten tot een goed einde kunnen brengen.
Je hoofdactiviteiten bestaan uit:
- Bieden van ondersteuning bij de project delivery-processen en -tooling (bv. SAP, Sharepoint, Service Now, etc.). Dit houdt in:
- meten en opvolgen van de voortgang doorheen de project delivery-processen
- opstellen van ad hoc-rapporten (bv. statusrapporten) voor het management
- procesdocumentatie en werkdocumenten delen met alles procesactoren
- verbeteringsvoorstellen voor de processen en tooling aanbrengen en adviseren van projectsponsor, programma
- en projectmanagers inzake projectbeheerdisciplines en -aanpakken
- coachen en bijsturen van de procesactoren in het dagdagelijkse gebruik van de processen, documentatie en tooling
- Fungeren als SSoT (single source of truth) over alle ideeën, demands en projecten als referentiepunt voor vragen en informatie rond project delivery-processen. Verzamelen van voorstellen rond de verbetering van tooling en deze doorgeven aan de beheerders van de tool
- Zorgen voor de voorbereiding van de financiële kostenstructuur met oog op de correcte registratie van projectkosten. Dit houdt oa. in: toezien op de nodige validaties, het financieel afsluiten van de projecten en het verzamelen en laten goedkeuren van de informatie rond de besteding van de financiële middelen
- Plannen en inhoudelijk organiseren van diverse comités (bv. goedkeuringsgates, projectmeetings, enz.) en vervolgens de genomen beslissingen en acties uitvoeren
- Jezelf op de hoogte houden van de evoluties inzake projectbeheer, -methodologie en -normen binnen de IT-sector zodat je kennis up-to-date blijft
- Je krijgt energie van het opbouwen en onderhouden van positieve relaties met diverse interne en externe stakeholders en je kan vlot je communicatie aanpassen aan de persoon die je voor je hebt
- Je kan op een transparante, duidelijke en efficiënte manier alle belanghebbenden informeren over wat er van hen verwacht wordt in de project delivery processen en de tooling
- Je brengt van nature duidelijkheid en structuur aan in de processen zodat deze correct worden gedocumenteerd en de proces actoren exact weten wat er van hen verwacht wordt
- Je gaat, na een eerste inwerkperiode, graag zelfstandig aan de slag bij het opvolgen van de voortgang van projecten, bij het opmaken van procesdocumentatie, bij de organisatie van de comités en de opleiding en begeleiding van proces actoren
- Je weet echter ook op de juiste momenten te escaleren naar je leiddinggevende (vb. proces actoren willen buiten de processen werken, demands zijn te laat doorgegeven of bij verbetervoorstellen voor processen en tooling)
- Je houdt proactief je kennis up-to-date en je draagt de best practices in projectbeheer uit zodat je op termijn een referentiepunt wordt voor vragen en informatie in verband met PMO
- Je beschikt over een bachelordiploma of gelijkwaardig door ervaring
- Je hebt idealiter min. 3 jaar ervaring als Project Management Officer. Ervaring in een IT omgeving is een grote meerwaarde
- Je hebt een grondige kennis van project management methodologieën, tooling en projectprocessen (projectselectie, projectaanvraag en projectuitvoering)
- Ervaring met budgetopvolging/-analyse is een mooi pluspunt
- Je hebt reeds ervaring met managementrapportering en governance meetings
- Je kan je, zowel schriftelijk als mondeling, vlot uitdrukken in het Nederlands, Frans en Engels
