Job Summary

We are seeking a detail-oriented Training Coordinator to support the planning and coordination of training programs for our flying staff, including pilots and hoist operators. Key responsibilities include organizing initial and recurrent training sessions, managing travel and hotel arrangements, and ensuring all regulatory documentation - such as forms & licenses - and qualifications, are up-to-date through punctual checks and follow-ups. The role involves assisting with flight department audits and maintaining direct communication with aviation authorities for planning purposes.

Respons. & areas

The work as a Training Coordinator is very varied. Some duties and responsibilities include:

- Planning initial and recurrent training & checks for our flying staff (pilots & hoist operators);
- Planning of their travel & hotel accommodations;
- Very punctual checks and follow-up of all regulatory administration (forms - docs - licenses - qualifications etc.;
- Assisting with audits of the flight department;
- Direct communication with the aviation authorities (BCAA) for planning reasons;
- Assisting with the planning of our Aviation Training activities (BE-ATO);
- Helping in managing contracts with related training suppliers/training location suppliers in coordination with the training manager
- Handling & follow-up of invoices IN/OUT related to these training activities in cooperation with our accountancy department;
- Providing the necessary data and information to our Business Control department.

Experience
- Proven experience in planning and coordinating activities in collaboration with operations, multiple operational bases and colleagues, showcasing strong organizational skills;
- Experience in aviation is a plus;
- Demonstrated ability to handle short-term changes and unexpected situations with ease, maintaining composure under pressure;
- Demonstrated ability to be easily reachable and responsive to team and operational needs.

**Skills**:

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), demonstrating the ability to create, analyze, and present documents effectively;
- Native or near-native fluency in English and Dutch, and a solid knowledge of French, with strong skills in speaking, understanding, reading, and writing;
- Basic knowledge of invoicing is a plus;
- The ability to remain calm and efficient in high-stress environments, ensuring tasks are completed on time and to a high standard;
- Punctuality and attention to detail;
- Flexibility: adapt to changing demands as needed.
