Function
As Executive Assistant to the Chief Customers, Markets and Systems (CO CMS) of Elia Transmission Belgium (ETB) you are responsible for the efficient organization, coordination, and support of all daily activities of the CO CMS. You work autonomously and with the utmost discretion, manage confidential information, and play a key role as the link between the CO CMS, internal stakeholders, and external partners.
Through your professional approach and strong organizational skills, you contribute to ETB’s consistent and positive image and to the optimal and efficient functioning of the CO CMS office.
Your Key Responsibilities
- Proactively and efficiently manage the CO CMS’s agenda, including scheduling appointments, meetings, seminars, and business trips.
- Organize and prepare internal and external meetings, seminars, and related documentation; collect and review all required documents.
- Act as the primary point of contact and filter between the CO CMS and internal departments or external stakeholders; manage requests, consolidate information, and ensure timely follow-up.
- Handle incoming and outgoing correspondence (emails, letters, etc.).
- Ensure the efficient administration of expenses and logistical matters related to the CO CMS.
- Continuously maintain and update professional and personal contact information.
- Organize business travel and coordinate with external suppliers and service providers.
- Act as secretary to the CMS Core Team (CO CMS and direct reports) and follow up on all action points.
- Support the department’s budget management, including preparation, expense tracking, and invoice verification.
- Serve as a buffer and ambassador of the company’s values, ensuring a consistent and professional representation of the organization.
- Demonstrate flexibility, autonomy, discretion, and strong organizational skills while conveying positivity and dynamism to all stakeholders.
Your Profile
- Bachelor's degree in Office Management, Languages, Legal Practice, or equivalent experience.
- Excellent command ofFrench, Dutch, and English, both spoken and written. Knowledge of German is considered an asset.
- At least5 to 10 years of experience in a similar role supporting executive management or a leadership committee.
- Able to work autonomously, confidentially, and discretely, while remaining flexible, customer-oriented, proactive, and highly organized.Strong sense of responsibility and the ability to work accurately and professionally.
- Excellent communication, facilitation, and interpersonal skills, with the ability to act as an effective interface between internal and external stakeholders.
- Advanced knowledge of Microsoft Office (PowerPoint, Excel, Access, Word, and Outlook). Experience withSAP is a plus.
- Curious and eager to explore the opportunities offered byArtificial Intelligence (AI) to further optimize daily tasks and processes.
- Possess legal, technical, and administrative knowledge.
- Experience with videoconferencing and mind-mapping tools is an asset.
- A true team player who can set priorities effectively and perform well under pressure.
