We zoeken een Project Management Officer ter ondersteuning van twee onderzoeksgroepen: Mobilise, dat zich richt op duurzame mobiliteit en logistiek, en AMGC, een multidisciplinaire groep die zich bezighoudt met aardwetenschappen en planetaire evolutie. In deze rol beheer je de dagelijkse operaties, financiën en HR, en zorg je voor een soepele voortgang van diverse onderzoeksprojecten.

Over de Onderzoeksgroepen:

Mobilise maakt deel uit van de HOST-onderzoeksgroep en richt zich op duurzame mobiliteit en logistiek. De groep onderzoekt transportgedrag, barrières voor duurzame mobiliteit en de impact van nieuwe mobiliteitsoplossingen op de samenleving, industrie, stadsplanning en gelijkheid. Met meer dan 30 interdisciplinaire onderzoekers voert Mobilise fundamenteel en toegepast onderzoek uit, evenals innovatieprojecten en trainingen.

AMGC is een interfacultaire groep van ruim experts in archeologie, geologie, chemie en milieuwetenschappen die de veranderingen van de Aarde en het Zonnestelsel in verleden, heden en toekomst bestuderen. De onderzoeksthema's van AMGC richten zich op Planeet Aarde en de mondiale evolutie met aandacht voor de rol van leven in ecosystemen, zowel biotisch als abiotisch.

Taken

Als projectmanagement officer werk je nauw samen met het management van beide groepen. Initiatief nemen en proactief handelen zijn essentieel. Je primaire taak is het ondersteunen van het management bij dagelijkse operaties, HR, financiën en projectbeheer.

Belangrijkste verantwoordelijkheden:

Administratieve en financiële taken voor beide onderzoeksgroepen beheren, zoals budgetbewaking, HR-planning en optimalisatie. Processen stroomlijnen tussen onderzoeksgroepen en VUB centrale diensten (HR, financiën, R&D) en externe partners. Coördineren van dagelijkse operaties, en verbeteringen doorvoeren in websitebeheer, onboarding, labvoorzieningen en evenementenplanning. Financiële rapportages voor projecten beheren (bijv. Horizon Europe, Innoviris, FOD, Belspo, FWO). Ondersteunen bij inkoop, orderopvolging, facturatie, boekhouding en labinkopen. Assisteren bij administratie en budgetvoorbereiding in de projectvoorstel-fase. Deadlines volgen, vergaderingen organiseren en rapporten opstellen om projectbeheer te ondersteunen. Monitoren van tenders en financieringsoproepen en tenderdocumentatie voorbereiden.

Voor deze functie is de Brussels Humanities, Sciences & Engineering Campus (Elsene) je uitvalsbasis, met mogelijkheden voor thuiswerken.

3 - Profiel

Wat verwachten we van jou?

Essentiële vereisten:

Masterdiploma of gelijkwaardig door ervaring. Uitstekende beheersing van Engels en Nederlands (minstens CEFR-niveau C1). Sterke organisatievaardigheden en aanleg voor effectief plannen om deadlines te halen. Oog voor detail en affiniteit met cijfers; vaardigheid in Excel. Proactief, leergierig en zelfstandig werkend. Bijdragen aan vereenvoudiging en optimalisatie van processen door analyses, zowel adviserend als uitvoerend, en zo voortdurende verbetering stimuleren. Oplossingsgericht en bereid om waar nodig bij te springen.

Extra kwaliteiten:

Ervaring met projectplanning en (financieel-administratief) beheer van academische R&D-projecten, zoals Horizon Europe-projecten. Inzicht in de context van de VUB of andere universiteiten en ervaring met grotere (academische) teams. Kennis van het Vlaamse, Belgische en Europese financieringslandschap (bijv. FWO, VLAIO, Innoviris, FOD, Horizon Europe). Zin om te gedijen in een internationale, diverse omgeving.

4 - Aanbod

We bieden je een voltijds vast contract met een bruto maandsalaris gekoppeld aan graad 7 of graad 8 (graad 7: min. € - max. € , graad 8: min. € - max. € ). De functie is per direct beschikbaar en kan zo snel mogelijk worden ingevuld. De exacte startdatum is bespreekbaar.
