The Role

The primary function of the Sales Associate is to assist the senior business getters with managing client relationships through comprehensive administrative support and sales support for consignments, projects, appraisals and other client activity. This role is client facing, working directly with the Senior Specialists on all aspects of the client relationships. The duties are varied and will also include other tasks to support overall department activity.

Specific duties & responsibilities will include but are not limited to
- Working with the Seniors to provide the vital pre-sale, sale and post-sale support necessary to maintain constructive and successful client relationships.
- Maintaining thorough client files and update Client and Object system (COS) as appropriate.
- Lead projects as directed by the Senior Specialists.
- Work directly with the Senior Specialists, clients and their staff to cultivate all aspects of their relationship with Christie’s creating further opportunities for business.
- Answer and follow-through with incoming telephone calls to best assist clients in a timely manner.
- Participate in telephone bidding with clients during auctions.
- Keep clients informed of all stages of the sales process from start to finish, including but not limited to property collection, updates to contracts and/or estimates, charges, sale results and settlements.
- Manage Senior Specialist’s appraisals by liaising between client, specialists and the Estates, Appraisals & Valuations department.
- Working with the seniors and sale teams to provide cataloguing support.
- Respond to client enquiries in a timely and professional way.
- Support Senior Specialists in looking after clients; ensure they are invited to relevant events, receive catalogues, etc.
- Organize client viewings and coordinate between Specialists, Operations and Client Services teams to ensure exceptional client experience.
- Meet and greet clients when required..
- Prior to auctions, ensure clients receive catalogues, information on upcoming lots and access to the lots when requested.
- Following the auctions, ensure clients receive invoices in a timely fashion and coordinate outgoing shipments as needed.
- Manage diary scheduling including all meetings.
- Manage and book travel all travel arrangements.
- Compose and edit client communications as required.
- Work closely, efficiently, and effectively with other specialist departments including international and regional offices, external organizations, individuals, and institutions.
- Enter opportunity details in COS. Updating contact lists and COS with client contact information.
- Upkeep of annual business activity tracker.
- Create purchase orders and sundry invoices, as required.
- Reconcile and submit corporate card expenses for approval using internal system.
- Manage courier requests.
- Troubleshoot office setup issues and equipment issues.
- Escalate any client disputes.
- Bachelor’s degree preferred, or demonstrable relevant work experience in auction, gallery or similar environment.
- Exceptional client service skills including strong verbal and written communication skills.
- Strong interpersonal skills demonstrated with superiors, clients and peers.
- Excellent communication and interpersonal skills, including superior written and spoken communication.
- Ability to work collaboratively across multiple groups and sites
- Ability to remain calm in stressful situations.
- Ability to creatively problem solves.
- Ability to work independently and as part of a team.
- Strong knowledge of Excel, Outlook (full Microsoft Office Suite preferred).
- Superior client service skills and extreme discretion with confidential and sensitive information.
- Demonstrated ability to multi-task, prioritize and ability to remain calm in stressful situations.
- Fluency in English, French and Dutch language desired.
- Strong follow-up skills and ability to manage projects with attention to detail.
