We are seeking a dedicated and organized individual to join our team as a **Receptionist and Administrative Assistant**. This dual-role position transitions between receptionist and administrative responsibilities, including assisting leadership with administrative tasks. This is an exciting opportunity for an adaptable, detail-oriented, and collaborative professional who thrives in an international setting.
**Key Responsibilities**
**Receptionist Tasks**:
- Professionally handle incoming and outgoing phone calls, directing messages and calls appropriately.
- Welcome and assist visitors, parents, and students, ensuring a positive and efficient experience, and following our procedure for visitors.
- Manage and distribute incoming mail and packages, following our procedure.
- Handle outgoing correspondence.
- Monitor security cameras to ensure the safety and security of the school premises.
- Maintain a tidy, organized, and professional reception area.
**Administrative Assistant Tasks**:
You will be familiar with administrative tasks across different school departments (administration, admissions, and operations), enabling you to step in as needed.
Responsibilities may include, but are not limited to:
- Covering for absent faculty members occasionally
- Supervising students during arrival to and departure from school
- Supervising students during break times
- Supporting senior leadership with tasks such as (but not limited to):
All Programmes
- Update, create, translate and print documents
- Recruitment, induction and documentation preparation for staff & interns
- Creating templates
- Support admissions/marketing with calls to families (e.g. to gather feedback)
- Updating calendars
- Support with Parent teacher conference platform
- Support leadership team with book lists and ordering
- Support organisation and set up of school events
- Ensure coordination with all teaching staff concerning scheduled field trips.
Primary Years Section
- Coordinate recruitment and documentation collection for interns, create their schedules, etc.
- Monitor and update files related to the PYP students’ behaviour.
Secondary Years Section
- Monitoring, and reporting after-school support attendance, and coordinating follow-up communication.
- Coordinating deadlines calendars on virtual learning platform
- Assist with preparation and organisation of exam sessions and registration of students in database
- Assist with preparation of standardised tests
- Assist with the organization of MYP and DP trips
- Manage and coordinate the Parent Speaker Programme.

**Essential Skills**:
- Fluency in French and English (both written and spoken). Any additional language is a plus.
- Quick and effective thinking skills and management of tasks.

- Strong organizational and multitasking skills with keen attention to detail.
- Excellent interpersonal and communication abilities.
- Proficiency in administrative software and tools.
- Strong writing and editing skills.

- Ability to manage groups of children and teenagers with assertiveness.
