Job & Responsibilities
Provide administrative and paralegal support to the VP law, EMEA Consumer Health and the EMEA Consumer Health legal team.
The Executive Assistant EMEA will be primarily responsible for the following:
- Working closely with the VP law, EMEA Consumer Health, and the EMEA legal team
- Be the face of the Consumer Health Legal Team when hosting team meetings or visitors while they are onsite
- Diary management - pro-active monitoring of calendars, prioritising meetings and rescheduling where necessary
- Pro-active arrangement and organisation of travel (flights, taxis, hotels)
- Assist in the preparation of high caliber presentation material for senior leadership updates and review meetings
- Manage special projects for the Team as needed
- Attend meetings, take detailed notes, and record/distribute follow-up action items
- Plan and schedule meetings, presentations, and other office related events to maintain and build team culture
- Arrange and support training/meetings - includes taking ownership for creating an annual timetable, arranging meeting rooms and IT equipment, documenting attendance
- Prepare and submit expenses using Concur system
- Prepare and process invoices, including purchase orders, new vendor setup, etc
- Obtain signatures for legal contract from authorised signatories and follow contract process for inputting contracts onto the ICD (or similar contract repository & creation tool) system
- Responsible for all archiving for the legal team as Records Co-ordinator
- Updating Legal Sharepoint to ensure templates and company policies are up to date
- Identifying volunteering opportunities for the Legal Team as part of CSR commitment
- Ad hoc support with legal contracts
- Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff
**Qualifications** Position Requirements**:
- College degree, paralegal certification, or equivalent-type of education or experience is required
- Minimum 4-6 years of related experience (law firm, in-house legal department or equivalent)
- A minimum of 5 years of experience supporting senior management is preferred
- Global calendaring experience in a complex matrix environment understanding time zone impacts to meetings and travel schedules
- Excellent time management skills, independent judgement, including the ability to multi-task and effectively prioritize work
- Exceptional attention to detail and independent problem-solving skills
- Technology savvy: Experience with MS office (including Excel), PowerPoint, Concur, Amex Travel, Summit, Teams, Zoom
- Strong oral, written communication, and interpersonal skills
- Flexibility to adjust to changing business environments to ensure an organized experience to internal and external clients.
