International Mobility Coordinator

We are looking for an **International Mobility Coordinator & Reward Assistant **who is **self-motivated, eager to learn and detail-oriented** to join our **Global Reward **team, based in our **headquarter** in **Brussels**, **Belgium.**

**About the role**

Embark on a rewarding journey where you'll play a pivotal role in supporting UCB's International Mobility program. You'll collaborate closely with the International Mobility team to facilitate employee relocations, immigration processes, and compliance with our trusted vendors. Additionally, you'll contribute to enhancing the operational efficiency of our reward team through technical and administrative assistance.

You'll join a diverse, dedicated and client-oriented team that values teamwork. Collaborate with talented professionals across departments such as HR, Legal, Payroll, and Finance as well as with vendors.

**What you’ll do**

International Mobility
- Immigration support: Assist in preparation of attestations and other forms required for relocation
- Vendor support: initiate services with our different vendors, including tax and immigration through data entry in vendor systems /profile creation
- Data Management: owner of employee assignment type data, including reporting on this information internally/externally
- Tax payments: Manage tax payments for internationally mobile population, including working with finance, tax vendor, local contacts in other countries and International Mobility team to interpret tax letters, understand status of tax payments, track and report on information on needed
- HR Systems set-up for mobile employees, including coordination and guiding of teams in other countries
- Relocation Assistance: Assist in the coordination of payments from external vendors and internal sources, act as central point for on-going payments for internationally mobile population
- Collaborate with Finance to ensure costs are properly paid and recharged to the correct departments
- Ad-hoc assistance in case of audit of tax filings

Reward
- Support the global Talent & Reward Operations (TRO) team during peak times, for instance assisting with yearly salary review process
- Assist with the Long Term Incentive programs (stock option/stock award/performance shares) : support the yearly grant process, provide back-up support with regard to day-to-day activities
- Assist with special projects (e.g. reward/benefits/M&A projects)
- Assist with team budget compilation, tracking and PO creation
- Help manage and maintain agenda, travel and internal/external appointments for Head of TRO & occasional limited support for other team members
- Arrange and coordinate LT meetings and team events, including meeting agendas, minutes, action tracking and other relevant documentation

**Interested? For this role we’re looking for the following education, experience and skills**:

- High level of proficiency in using office software and tools (Word, PowerPoint, Excel - pivot-tables, V-lookup) and a natural interest in technology and automation
- Strong attention to detail and data literacy skills.
- Ability to handle sensitive information discreetly.
- Experience or knowledge of international mobility is a plus.
- Familiarity with project management principles is advantageous.
- Strong problem-solving abilities and basic budgeting knowledge.
- Fluent in English (French and/or Dutch are a plus).
- Good organizational and time management skills
