Jonathan Kubben is a content creator who leads an audiovisual company and manages several active projects in the fields of travel and video production.
We’re looking for a part-time Executive Assistant capable of structuring, coordinating, and automating daily operations, both professional (projects, payments, providers, shoots) and personal (logistics, Airbnb, personal organization).
**Objective**: Ensure smooth, reliable, and automated operations to free up strategic time.
**Mission**
You’ll be the link between tools, partners, and the founder, with the goal of reducing manual workload by 45% through optimized Make/Notion/Gmail workflows.
**Main Responsibilities**
- Manage pre-accounting: invoice filing, reconciliations, payment follow-ups.
- Coordinate providers, bookings, and travel logistics.
- Manage the founder’s calendar and meetings (Calendly).
- Track payments, invoices, and simple follow-ups.
- Prepare project folders (tracking, checklists, documentation).
- Handle everyday logistics and purchases (orders, deliveries).
- Supervise Airbnb operations (messaging, maintenance).
- Keep dashboards updated in Notion.
- Execute and improve automations (Make/Zapier).
- Provide concise weekly reporting.
- Document process improvements to streamline execution.
**Tools Used**
- Notion (main organizational hub)
- Google Workspace (Drive, Gmail, Calendar)
- WhatsApp Business & Calendly
- Make (formerly Integromat) / Zapier
- Stripe, Airbnb, Google Sheets
**Profile**
- Fluent in **French and English** (Spanish is a plus).
- Proficient with Notion and Google Workspace.
- Comfortable with simple automations (Make/Zapier, basic APIs).
- Good knowledge of pre-accounting and admin follow-up.
- Logical, structured, and solution-oriented mindset.
- Clear writing, professional and kind tone.
- Strong prioritization, autonomy, and discretion.
- Interest in creative, multicultural, and digital environments.
- Comfortable working independently from home.
**Conditions**
- Part-time: 18-20h/week
- Flexible schedule
- Hybrid work: directly with the founder (Brussels office + remote)
- Compensation based on experience
