Join The Team We are now looking for an Assistant Facility Manager to oversee facilities, workplace and storeroom operations for our Hong Kong office. This role combines operational leadership, vendor management, workplace projects and process improvement to ensure a safe and efficient workplace. What You’ll Be Doing
• Facilities operations
• Lead the day-to-day delivery of workplace and facilities services, including maintenance, cleaning, security, access management, office services, equipment, supplies and service requests.
• Set priorities and provide direction to the facilities team.
• Coordinate and manage facilities incidents and business continuity matters.
• Vendor and contract management
• Source, engage and manage facilities vendors and service providers.
• Monitor service levels, manage contract renewals and resolve vendor performance issues.
• Partner with Finance and stakeholders on quotations, approvals, purchasing and invoice management.
• Budget and resource management
• Prepare and monitor facilities budgets and forecasts.
• Track expenditure, analyse cost drivers and identify practical efficiency opportunities.
• Maintain accurate facilities records and asset information.
• Projects and compliance
• Lead or coordinate office repairs, renovations, relocations, sustainability initiatives and workplace improvement projects.
• Ensure compliance with statutory requirements, workplace safety standards, emergency preparedness arrangements and facilities governance requirements.
• Track hazards, incidents and corrective actions to completion.
• Workplace experience and improvement
• Partner with Business Partnering teams and Value Champions to plan and deliver office engagement activities.
• Gather stakeholder feedback and service data to identify improvement opportunities.
• Drive process simplification, service improvements, automation initiatives and the adoption of approved technology solutions.
• Support the Facilities team in implementing and sustaining improved ways of working. To Be Successful In This Role, You’ll Have
• Bachelor's degree in Facilities Management, Property Management, Building Services, Business Administration or a related discipline.
• 5-7 years' experience in facilities management, workplace operations, warehouse, storeroom or logistics-related environments.
• Proven experience managing workplace facilities, storeroom operations, inventory control, equipment and asset management.
• Strong understanding of stock control, storage management, inventory accuracy, workplace organisation and process discipline.
• Experience leading or supervising operational support teams and coordinating day-to-day work priorities.
• Proven experience managing vendors, service contracts, procurement activities and maintenance service providers.
• Experience monitoring budgets, operating expenditure and cost-control initiatives.
• Experience coordinating office maintenance, workplace projects, relocations, renovations or operational improvement initiatives.
• Knowledge of workplace safety, emergency preparedness, compliance requirements and facilities governance.
• Strong stakeholder management, communication and problem-solving skills, with the ability to balance operational priorities and service delivery expectations.
• Demonstrated ability to drive process standardisation, continuous improvement, automation opportunities and adoption of technology-enabled solutions.
• Experience planning employee engagement activities, office events or workplace experience initiatives will be advantageous.
• Proficiency in written and spoken Cantonese, English and Mandarin.
