Full-time position | Brussels | 50% Partnership + 50% Legal Publications Departments Orgalim | Europe’s Technology Industries is looking for a Coordinator to provide administrative, organisational and practical support to its Partnership & Legal Publications departments. This is a varied coordination role supporting the smooth delivery of administrative, financial, sales, communication and event-related activities for the clients and associations we serve. Who we are Orgalim has a team of over 30 people – 14 nationalities – representing the interests of Europe’s technology industries: innovative companies spanning the mechanical engineering, electrical engineering and electronics, and metal technology branches. We are working with policymakers and stakeholders to strengthen our industries’ growth and global leadership and to maximise their contribution to Europe’s economy and society. The role Orgalim is looking for an organised, service-oriented and proactive coordinator for a full-time position shared equally between our Partnership and Legal Publications activities. The successful candidate will work across two complementary areas, with approximately 50% of their time devoted to each. This position is an excellent opportunity for a professional highly motivated to learn all aspects of managing an association, as well as the administration of an online store. It combines administrative accuracy, practical coordination, client and member support, sales and financial follow-up, digital-platform administration and regular cooperation with colleagues, members, suppliers and external partners. Part 1: Association coordination (50%) Orgalim’s Partnership Department provides services to nearly 20 associations across a diverse spectrum of technology sectors. A multidisciplinary team of advisers and coordinators delivers tailored support ranging from monitoring and advocacy to full association management, strategy and operational support. In this part of the role, you will support Partnership Advisers to ensure the day-to-day associations activities run efficiently:
• Meetings and events: organisational and practical support before, during and after meetings and events.
• Financial coordination: support invoicing, payments, and other financial administration.
• Legal and governance support: coordinate Belgian administrative and regulatory formalities; maintain accurate corporate and governance records with guidance from the relevant advisers.
• Membership, databases and digital access: maintain member and contact data in our database; manage subscriptions from members.
• Secretariat and communications support: manage shared inboxes and support internal and external communications.
• Projects: provide administrative support for funded projects, trade fairs and other initiatives. Part 2: Legal Publications sales coordination (50%) Orgalim's Legal Publications are practical contractual documents tailored to our industries and created by specialised lawyers and legal experts from Orgalim’s National Members. They are licensed through a dedicated online platform and used by companies across Europe and beyond. Working closely with the Publications Officer, you will ensure the day-to-day activities related to the online sales platform run efficiently:
• Client and mailbox support: monitor the Legal Publications mailbox, respond to routine enquiries, assist clients, ensure structured follow-up, and refer complex contractual, licensing or technical questions to the Publications Officer.
• Sales and financial administration: follow up of invoicing, credit collection; liaise with Orgalim’s Finance team for accounting.
• Copyright and licensing compliance: help identify possible unauthorised use of Orgalim documents, follow up with companies.
• Licensing platform and data administration: support checks of licence renewals and automated processes, identify inconsistencies or possible technical issues, liaise with IT support, and assist with testing developments and improvements.
• Publications and document support: manage documents for publication on the sales website, assist with promotional communications. Profile and skills
• A higher education qualification and at least one year of relevant experience in administrative coordination, customer support or sales support, preferably in an international environment.
• Excellent written and spoken English. Knowledge of French or another European language is an asset.
• Strong organisational and project-coordination skills, with the ability to manage several workstreams, follow up proactively and meet deadlines.
• Excellent attention to detail
• A collaborative approach and the ability to work independently while knowing when to refer a matter to a colleague.
• Flexibility and willingness to learn and support different teams and activities.
• Strong digital skills, including confident use of Microsoft 365 and Copilot, and confidence working with online platforms, databases and shared document libraries.
• Experience with invoicing, credit control, content-management systems, mailing tools, financial software or online sales platforms is an advantage. Work authorisation: This position is based in Brussels and is open only to candidates who already hold a valid Belgian work permit or otherwise have the legal right to work in Belgium.
