Team Structure
The successful candidate will sit within the Talent Development team. You should work to enhance the general development of the Firm's practice and profitability by working closely with other staff in our Talent Development Department and, where applicable, other staff in the Firm.
Main Responsibilities
The Asia TD team is responsible for the effective management of all matters concerning the training and development of people within Stephenson Harwood across Asia, including the delivery of an impactful and highly regarded TD curriculum. We have two main offices in Asia located in Hong Kong and Singapore, and smaller offices in Shanghai, and Seoul.
Role
The TD Administrator is a key member of the TD team. This varied role will primarily support the TD Manager in the provision of a high quality and seamless TD service to our client base (e.g. fee-earners and business services). The Administrator will do this by supporting the administration, organisation, coordination and liaison involved with all our core development programmes. S/he will also be involved in cross-departmental and firm-wide liaison on training administration matters and oversee some firm-wide regulatory and administrative activities. Examples of some of the role's specific tasks and activities include:
Regional CPD & risk management education (RME) application
Management of the CPD & RME application process
Main contact/liaison with the HK Law Society
General administration e.g. typing feedback and attendance reports for the HK Law Society
Management of the Learning Hub 'Hub' i.e. the firm's Learning Management System
Creating classes, inputting data, running reports, updating attendance and CPD points, editing and uploading of videos and other learning materials
Keeping track of the training records (CPD and non-CPD) for the firm's Hong Kong and Singapore qualified lawyers
Dealing with queries relating to HK & SG Continuing Professional Development
Liaising with SH London HRIS team to rectify any issues and/or to upgrade the system
TD induction for new joiners in Business Services
Conducting an TD induction session for new joiners in the HK & SG Business Service team
Training programme logistics and administration
Managing face-to-face and virtual training logistics (e.g. catering, AV and room set up, attendance sheets)
Invoicing (e.g. processing invoices and expenses relating to seminars and other training)
Interfacing with various client groups, in particular the IT team, Reception and Office Facilities team for events’ logistics, and the BD team for client seminars
Other
Managing the TD calendar
Producing a monthly regional TD newsletter
Providing administrative support to team wide projects as needed
Coordinating team diaries and scheduling training as required
Attributes/Skills Required
Strong organisational and administrative skills with the ability to manage multiple tasks, deadlines and competing priorities effectively.
Excellent attention to detail and accuracy, particularly when managing training records, LMS data, budgets, invoices and reporting.
Proven ability to coordinate events, training programmes and stakeholder schedules in a fast-paced professional environment.
Strong interpersonal and communication skills, with confidence in liaising with employees at all levels and collaborating with cross-functional teams.
Customer-service oriented approach with the ability to respond to queries professionally, promptly and effectively.
Good analytical and problem-solving skills, with the ability to identify issues and propose practical solutions.
High level of proficiency in Microsoft Office applications, particularly Excel, Word, Outlook and PowerPoint.
Experience using Learning Management Systems (LMS), HR systems or other database platforms, including data entry, reporting and record management.
Ability to handle confidential and sensitive information with discretion and professionalism.
Strong planning and coordination skills, with the ability to manage calendars, training schedules and project-related activities.
Financial administration skills, including invoice processing, expense management and budget tracking.
Self-motivated, proactive and able to work independently while contributing effectively as part of a team.
Flexible and adaptable, with a willingness to support team projects and changing business priorities.
A continuous learning mindset and genuine interest in learning, talent development and employee growth.
Experience within a professional services, legal or corporate environment would be advantageous.
Knowledge of Continuing Professional Development (CPD) requirements and compliance-related learning administration would be beneficial.
