AION Consulting is not a traditional consulting firm.
We are building an entrepreneurial, liberated and demanding consulting firm inspired by the principles of the Liberated Company: autonomy, accountability and collective ambition replace traditional hierarchical management models.
We advise large corporations, public institutions, investment funds, scale-ups and SMEs on strategy, transformation, governance and operational performance.
Our conviction is simple: strategy only creates value when it translates into execution.
As we continue to grow across Belgium, France and Luxembourg, we are looking for a Chief of Staff to join our Brussels team and play a central role in the coordination, development and professionalisation of the firm.
This is a highly transversal position at the intersection of people, business operations, strategic coordination, governance and company development. Working closely with the leadership team, you will help ensure that the organisation runs smoothly while supporting the execution of its strategic priorities.
⸻
Your role
As Chief of Staff, you will act as a central coordination point for the firm and a key support to the leadership team, with significant autonomy and direct interaction with consultants, managers, clients, partners and external stakeholders.
The role combines four dimensions:
People & Organisation
· Business Operations
· Strategic Coordination & Governance
· Company Development & External Relations 1. People & Organisation You will help ensure that our consultants and employees have the support, information and follow-up they need.
• Act as a coordination point for consultants on operational and administrative matters.
• Coordinate and follow up on timesheets, holidays, absences and other key administrative processes.
• Support onboarding and offboarding processes.
• Coordinate information between consultants, management and external HR/payroll partners.
• Support recruitment processes, including interview coordination, candidate communication and onboarding.
• Contribute to improving our people processes and employee experience. You will ensure that the right information reaches the right person at the right time and that nothing falls through the cracks. 2. Business Operations & Client Coordination You will help maintain a clear overview of our consulting activity and ensure that projects and related processes run smoothly.
• Maintain an overview of ongoing missions, priorities, deadlines and key actions.
• Follow up on project status, deliverables and client actions.
• Monitor project costs, expenses, and ensure appropriate documentation and allocation.
• Coordinate information required for client invoicing and follow up on outstanding POs, timesheets, documents and payments.
• Maintain operational dashboards and reporting.
• Coordinate operational exchanges with clients and external stakeholders.
• Identify issues, ensure appropriate escalation and follow through to resolution.
• Contribute to the continuous improvement and automation of internal processes. The objective is not simply to track information, but to make sure that actions are actually completed. 3. Strategic Coordination & Governance Beyond day-to-day operations, you will play an active role in the strategic coordination and development of AION. Working closely with the leadership team, you will help turn priorities and decisions into coordinated action.
• Support the preparation and coordination of strategic priorities and initiatives.
• Prepare strategic reports, management updates, dashboards and decision-making materials.
• Consolidate information across the organisation to provide visibility on performance, priorities, risks and opportunities.
• Prepare management meetings, strategic reviews and internal governance meetings.
• Follow up on strategic decisions and ensure that agreed actions are implemented.
• Support annual planning, budgeting, business reviews and strategic planning processes.
• Contribute to the development of AION’s governance and operating model. You will also support the professionalisation of our governance processes:
• Prepare and coordinate Board and Advisory Board meetings.
• Coordinate agendas, presentations and supporting materials.
• Consolidate inputs from stakeholders and ensure high-quality documentation.
• Prepare minutes, decision logs and action trackers.
• Follow up on Board and governance decisions and commitments.
• Support quarterly and annual company reviews. 4. Company Development & Strategic Partnerships AION’s development relies on strong relationships with clients, institutions, entrepreneurs, universities, investors, business networks and strategic partners. You will contribute to the development of this ecosystem:
• Identify and support the development of strategic partnerships.
• Coordinate relationships with key partners and external stakeholders.
• Prepare partnership proposals, presentations and briefing materials.
• Coordinate meetings and ensure appropriate follow-up.
• Maintain an overview of key partnerships, commitments and opportunities.
• Support market research, strategic analyses and business cases related to AION’s development.
• Contribute to the launch of new initiatives, offers, partnerships, offices or business activities.
• Coordinate transversal projects involving multiple teams or functions. You will therefore contribute not only to how AION operates, but also to where the company is going. 5. Company Life, Culture & External Visibility You will contribute to maintaining and developing the collective dynamic and external visibility of AION.
• Support the organisation of strategic offsites, company-wide meetings, leadership events and selected external events.
• Coordinate logistics, suppliers, invitations and communications where required.
• Support recruitment events and employer branding initiatives.
• Contribute to internal communications and company-wide initiatives.
• Help create a professional and engaging environment for our teams. ⸻ A transversal role with real ownership. This is not a traditional administrative position. We are looking for someone who enjoys making things happen: connecting people and topics, identifying what is missing, anticipating issues, turning decisions into action and continuously improving the way the firm operates. You will progressively become one of the people with the clearest overview of what is happening across AION. One day you may be following up on a consultant’s timesheet or a client purchase order; the next, preparing a Board meeting, coordinating a strategic partnership or consolidating information for a leadership review. That variety is at the heart of the role. ⸻
Your profile
We are looking for an organised, proactive and highly reliable professional who enjoys working in a fast-moving entrepreneurial environment. You ideally have:

• The ability to interact confidently with consultants, managers, clients, partners and senior stakeholders.
• The ability to prepare high-quality management and strategic materials.
• A pragmatic, solution-oriented and entrepreneurial mindset.
• Strong ownership: when you take responsibility for something, you make sure it gets done. Languages
• French or Dutch and English are essential.
• Fluency in another official Belgian language is a strong asset. ⸻ What matters most to us Beyond your CV, we are looking for someone who is: Reliable — when something is in your hands, it gets done. Proactive — you anticipate issues rather than waiting for them to become problems. Structured — you can manage multiple people, projects, deadlines and priorities without losing sight of the details. Strategic — you understand the bigger picture and connect information to decisions. Entrepreneurial — you are comfortable with ambiguity and enjoy building processes rather than simply following them. People-oriented — you enjoy helping others work better and contributing to a strong company culture. Pragmatic — you focus on solving problems and moving things forward. ⸻
