OPERATIONS & LOGISTICS COORDINATOR GENERAL INFORMATION Department: Operations & Logistics

Arsenal, Etterbeek Contract: Permanent, full-time Start date: As soon as possible JOB MISSION The Operations & Logistics Coordinator is responsible for the smooth coordination of product-related operations and logistics flows within the Maison; Acting as a key point of contact between the Dispatching, Retail, Wholesale, Quality Control, Production and Management teams, the Coordinator ensures the smooth flow of goods, from the receipt of collections through to their distribution, return and after sales processing. The role combines operational, commercial, organisational and analytical responsibilities within a demanding luxury environment that requires rigour, anticipation and a high standard of execution. KEY RESPONSABILITIES 1. LOGISTICS FLOWS & DELIVERIES
- Coordinate the flow of goods between the Arsenal, boutiques and B2B clients.
- Ensure the receipt, invoicing and stock intake of new collections.
- Plan shipping priorities with the Dispatching team and delivery partners.
- Monitor deliveries and resolve any issues or unexpected situations.
- Receive and check goods returned to the Arsenal and ensure inventory accuracy.
- Analyse returns and determine the appropriate next step: restocking, repairs, supplier returns, donations, etc. 2. WHOLESALE CLIENTS (EU & INTERNATIONAL)
- Follow up with B2B clients during and after showroom periods.
- Maintain a responsive and high-quality commercial relationship with B2B accounts.
- Respond to client requests, identify their needs and check product availability.
- Manage commercial communications and mailings when required.
- Manage reorders and orders through Le New Black, suggest alternatives and prepare the corresponding invoices.
- Coordinate and follow up on exchanges with clients. 3. ARSENAL MANAGEMENT
- Ensure that storage areas are organised, clean and functional, in line with the Maison's standards.
- Ensure consistency between physical and system stock levels.
- Manage the operational needs of the Arsenal and coordinate with the building maintenance team. 4. PAYMENT FOLLOW-UP
- Monitor overdue client invoices in collaboration with the CFO.
- Pay particular attention to outstanding payments during reorder and exchange periods.
- Flag significant overdue payments and verify account status when required. 5. REPORTING & ANALYSIS
- Prepare weekly, monthly and annual reports on commercial activity.
- Monitor reorder sales and key performance indicators.
- Identify trends, discrepancies and opportunities for improvement. 6. PRIVATE SALES
- Organise the Maison's private sales twice a year, from preparation through to post event follow-up.
- Establish the timeline and oversee the preparation and organisation of merchandise.
- Analyse sales performance and provide reporting to Management. Tools : Cegid Y2, Orli, Le New Black, Microsoft Office. PROFILE
• Previous experience in logistics, operations or supply chain, ideally within the fashion or luxury industry.
• Experience in a B2B / Wholesale environment and knowledge of international shipping processes are a plus.
• Fluent in French, Dutch and English.
• An organised, proactive, curious, responsive and flexible individual, with a genuine willingness to learn and develop their skills.
• Strong anticipation, communication and problem-solving skills, with a strong sense of service.
• Sensitivity to the quality standards and image of a luxury Maison, as well as to the requirements of showroom periods and seasonal activity.
