Mission Title: Functional analysis, feasibility assessment, and migration planning for hospital ADT workflows toward Epic Prelude This assignment supports the modernization of a hospital information system and the rollout of the Epic platform, with a focus on evaluating, aligning, and preparing the migration of Patient Admission, Discharge and Transfer (ADT) processes to Epic Prelude . The objective is to ensure that the future setup fits Belgian regulatory, insurance and interoperability requirements, while delivering a realistic and operationally sound transition approach. Core objectives
- Process mapping and functional analysis: analyse and document current and target ADT workflows end to end, including Belgian legal, operational and interoperability constraints.
- Fit-gap and feasibility assessment: compare native Epic Prelude capabilities with local requirements, identify functional or technical gaps, and formulate pragmatic mitigation or architecture options.
- Migration strategy and cut-over preparation: define a phased migration roadmap covering sequencing, dual-run considerations, critical dependencies, and data remediation or conversion needs. Responsibilities
- Lead business and operational workshops with admissions teams across Emergency, Inpatient, Day Hospital and Outpatient Clinics, as well as with billing and invoicing stakeholders and IT leadership.
- Capture existing processes, business rules and target-state expectations with a strong business process management approach.
- Assess mandatory regulatory and technical integration points, including identity verification through eID, ISI+ cards and National Registry queries.
- Review insurance eligibility flows such as MyCareNet, mutual insurance associations and complementary health plans.
- Analyse connections with regional and national healthcare platforms, including eHealth and local Health Information Exchanges.
- Coordinate with product and integration specialists around Belgian localization and interface mechanisms such as HL7, FHIR and custom APIs.
- Identify critical workflows and operational risks, including emergency admissions, patient identity tracking, patient safety and census monitoring.
- Prepare business continuity considerations and support decision-making with clear analysis, business modeling and executive-level summaries.
- Contribute to the definition of functional architecture options where standard capabilities do not fully meet the target operating model. Deliverables
- Functional analysis dossier / target blueprint: detailed documentation of target ADT workflows and integration requirements.
- Fit-gap and feasibility matrix: structured comparison of Belgian legal and operational needs versus Epic Prelude capabilities, including recommendations for customization, middleware or process adaptation.
- Migration and rollout plan: phased implementation roadmap with dependencies, technical prerequisites and cut-over recommendations.

Your profile
- You bring strong experience as a Senior Business Analyst or similar role in complex healthcare transformation or system migration initiatives.
- You have solid expertise in the Belgian healthcare sector, including hospital operations, RIZIV/INAMI rules, patient admission processes and insurance eligibility mechanisms.
- You combine functional analysis, business modeling and business process management skills to translate operational needs into clear target processes and requirements.
- You understand healthcare interoperability and identity standards, with hands-on knowledge of MyCareNet, eHealth, eID-related flows, and message standards such as HL7 v2/v3 and FHIR.
- You have proven experience with PAS/EHR implementations or migrations; familiarity with Epic Prelude and Grand Central is a strong asset.
- You are able to evaluate solution fit from both a functional and an enterprise architecture perspective, and to propose workable alternatives when gaps are identified.
- You facilitate cross-functional workshops with administrative, clinical and technical stakeholders and communicate conclusions clearly to senior decision-makers.
- You work in a structured way, balancing feasibility, compliance, operational continuity and migration risk. Work environment
