Functiebeschrijving

Head of project support is verantwoordelijk voor project management ondersteunende diensten en resources. Hij/zij geeft leiding aan: operationeel project assistenten, het secretariaat en de document controllers. De head of project support is tevens verantwoordelijk voor het identificeren en implementeren van structurele verbetering in de werking van deze diensten. Deze functie is verantwoordelijk voor de efficiënte werking van bepaalde transversale projectprocessen om zo optimale, operationele diensten te leveren aan de interne klanten, leveranciers en dienstverleners van Elia.


Volgende diensten worden geleverd in het kader van Infrastructuurprojecten:


Met betrekking tot kostenbeheer & aankopen:

Technische, administratieve, budgettaire en financiële ondersteuning van de projecten tijdens de volledige levenscyclus in het daartoe bestemde systeem (SAP)  Alle documenten die nodig zijn voor het creëren van aanbestedingen, bestellingen of afroepen op raamakkoord ter beschikking stellen van de aanbestedingen Ontvangen van facturen en versturen van betalingsakkoorden. Opvolging van de planning van de mijlpalen van het project in SAP, zodat de ’projectleiders (PL) hun projecten zo efficiënt mogelijk kunnen organiseren en realiseren

Met betrekking tot documentbeheer: 

Bepalen en uitdragen van methodologieën, best practices, tools, … op vlak van document management voor heel de Infra directie, rekening houdend met zowel document management expertise (meta data, validatie processen, versiebeheer, security, toegankelijkheid, …) als de diverse Infra business requirements.  Afwerking, distributie en archivatie van documenten: corrigeren, structureren en lay-outen van teksten en presentaties, kwaliteitscontrole van documenten, lanceren van validatie flow in het document managent systeem, verspreiding via mail aan de hand van distributielijsten, … In kader van “Large Investment Programs”, definiëren en implementeren van een document management plan, opzetten en configureren van een dedicated document management systeem (Ex. Aconex), beheer van toegangsrechten & validatieprocessen, instaan voor de kwaliteitsgarantie van alle inkomende en uitgaande project documenten, rapportering... 

Het secretariaat voorziet eveneens algemene ondersteuning aan Infra directie, niet per definitie gelinkt aan Infrastructuurprojecten:

Beheren en up-to-date houden van het klassement van alle documenten in het bijpassende document management systeem Opmaak en opvolging van kleine bestellingen ten behoeve van de directie (hotels, vliegtickets, veiligheidsschoenen, …), inclusief verdere afhandeling (receptie van goederen, facturatie, …) . Organiseren van afspraken, vergaderingen, evenementen of seminaries Uitvoeren van diverse administratieve taken om de werking van de Infra directie of de verantwoordelijke van de afdeling efficiënt te ondersteunen (Vb: Beheren voorraad kantoorbenodigdheden, beheren van uitleenbaar materiaal, …)

In deze functie onderhoudt hij/zij voornamelijk relaties binnen de directie Infrastructure, zijnde met Head of program management (IP departement), program managers (IP departement), Head of Program Management Office (P²MO), Program management officers (P²MO departement), om de behoeften van de programma’s en projecten te identificeren op het gebied van project ondersteuning. Hij/zij onderhoudt tevens transversale contacten met Procurement, Controlling & Accounting om de efficiënte werking van zowel de processen, als de tooling te vrijwaren (maintenance & continuous improvement). 

Hij/zij rapporteert aan het Head of P²MO.

Jouw profiel

Jouw profiel als Head of Project Support:

Je bent in het bezit van een diploma in bedrijfsbeheer of economie of gelijkwaardig door ervaring. Je hebt een goede kennis van verschillende programma’s (vb SAP, MS Office, E-Doc, Aconex). Je beschikt over een goede kennis Nederlands, Frans en Engels. Je bent in het bezit van leidinggevende capaciteiten. Je hebt kennis van project management best practices. Je beschikt over organisatorische vaardigheden en planningscompetenties. Je bent in staat om een vertrouwensrelatie op te bouwen. Je bent in staat om doeltreffend te communiceren met diverse actoren. Je bent in staat om beslissingen te nemen.  Je denkt probleemoplossend. Je bevordert teamwork.
