Job Summary | FunctieomschrijvingEN We are seeking a proactive and detail-oriented Office & Sales Operations Coordinator to support our internal sales, purchasing, and logistics operations. In this role, you will manage B2B purchase orders, coordinate shipments, oversee order fulfillment, and support internal sales processes. You will work closely with production, logistics, and warehouse teams to ensure timely deliveries, accurate order processing, and continuous process improvement. This role is ideal for someone who enjoys combining administration, coordination, data analysis, and customer communication in a dynamic B2B manufacturing environment. Key Responsibilities | VerantwoordelijkhedenSales Operations & Order Management | Sales Operations & Orderbeheer EN Manage the full order-to-delivery process, from order intake to shipment. Coordinate with production, logistics, and warehouse teams to ensure timely and accurate deliveries. Maintain regular customer contact via phone and email regarding order status, delivery times, and issues. Analyze historical order and sales data to support demand forecasting and planning. Monitor and report on KPIs such as order accuracy, lead time, and customer satisfaction. Support internal sales priorities, escalations, and team coordination. Develop, update, and maintain work instructions and process documentation. NL Beheren van het volledige orderproces, van orderontvangst tot verzending. Afstemmen met productie, logistiek en magazijn om tijdige en correcte leveringen te waarborgen. Onderhouden van klantcontact via telefoon en e-mail over orderstatus, levertijden en vragen. Analyseren van historische order- en verkoopgegevens ter ondersteuning van forecasting en planning. Monitoren en rapporteren van KPI's zoals ordernauwkeurigheid, doorlooptijd en klanttevredenheid. Ondersteunen van interne verkoopprioriteiten en escalaties. Opstellen, bijwerken en onderhouden van werkinstructies en procesdocumentatie. Purchasing, Logistics & Office Administration | Aankoop, Logistiek & Administratie EN Coordinate and process B2B purchase orders, ensuring correct documentation and timely follow-up. Track shipments and transit activities in collaboration with logistics partners. Monitor incoming goods and verify deliveries against purchase orders. Maintain accurate records of purchasing, inventory, shipments, and incoming articles. Manage procurement of office supplies and ensure sufficient stock levels. Handle import/export and logistics documentation where required. Provide general administrative and coordination support to the office and purchasing team. Controleren van inkomende goederen en vergelijken met aankooporders. Bijhouden van nauwkeurige registraties van aankopen, voorraad, zendingen en inkomende artikelen. Beheren van kantoorbenodigdheden en zorgen voor voldoende voorraad. Verwerken van import/export- en logistieke documentatie waar nodig. Algemene administratieve en coördinerende ondersteuning bieden aan kantoor en aankoopteam. Process Improvement & Collaboration | Procesverbetering & Samenwerking EN Identify and implement improvements to internal sales, purchasing, and administrative processes. Collaborate closely with Sales, Finance, Operations, and Supply Chain teams. Maintain structured logs, reports, and documentation to support transparency and decision-making. NL Identificeren en implementeren van verbeteringen binnen verkoop-, aankoop- en administratieve processen. Nauw samenwerken met Sales, Finance, Operations en Supply Chain. Bijhouden van gestructureerde logs, rapporten en documentatie ter ondersteuning van transparantie en besluitvorming. Profile & Requirements | Profiel & Vereisten EN Secondary education diploma (or equivalent). Bachelor's degree in Business Administration, Supply Chain Management, or related field is a plus. 3–5 years of experience in office administration, sales operations, order management, purchasing, or logistics (preferably in a B2B or manufacturing environment). Strong analytical skills with experience in forecasting or sales data analysis. Excellent organizational, communication, and negotiation skills. Strong computer skills (Excel, Word, Outlook); ERP experience is a strong advantage. Ability to manage multiple tasks independently in a fast-paced environment. Structured, accurate, and process-driven with a continuous improvement mindset. Familiarity with logistics operations and import/export processes is a plus. NL Diploma secundair onderwijs (of gelijkwaardig). Bachelor in Bedrijfskunde, Supply Chain of een vergelijkbare richting is een plus. 3–5 jaar ervaring in administratie, sales operations, orderbeheer, aankoop of logistiek (bij voorkeur in een B2B- of productieomgeving). Sterke analytische vaardigheden en ervaring met forecasting of data-analyse. Uitstekende organisatorische, communicatieve en onderhandelingsvaardigheden. Sterke computervaardigheden (Excel, Word, Outlook); ERP-ervaring is een grote troef. In staat om zelfstandig meerdere taken te beheren in een dynamische omgeving. Gestructureerd, nauwkeurig en procesgericht met focus op continue verbetering. Kennis van logistieke processen en import/export is een plus.
