As an executive assistant:
- You plan, participate in and followup on global meetings
- Organize and prepare workshops and clinics
- Creation of presentations in Powerpoint, Excel etc. for meetings
- General office duties including entering of information on database, telephone contact with clients / org stakeholders and other professionals, filing.
- Managing and arranging travel, transport, visa and accommodation.
- Data entry
- Organizing and arranging global team meetings including all administration
- Manage agenda and presentations
- Manage hotels and restaurant reservation
- Managing invitations and participants
- Creating and providing templates for team PP
- Collect and merge team material
- Proofread and adjust
- Maintain team folders and database
- Manage all travel arrangements for the team. Tickets, hotel, visa etc.
- Update calendars
- Buying various items for meeting etc.
- Ordering flowers etc. for team celebrations
Profiel
The executive assistant we are looking for:
- Speaks fluent English and Dutch. Day to day communication is in English. Is excellent in written English and Dutch
- Marketing experience is preferred
- Experienced with budget and numbers
- Has great organisational skills
- Can set priorities and maintain focus in stressful periods with many tasks
- Can work independently and with global teams
- Is creative and good at sparring new ideas
- Good knowledge of software packages: Powerpoint, Word, Excel, SAP, Concur & Acubiz
