Job Purpose / Background
We are seeking a contract Office Manager to support the Institutional Relations team in Brussels.

Temasek's representative office in Brussels is in charge of institutional relations in the EMEA (Europe, Middle East and Africa) region, provides advice and strategic guidance to the company on policy, regulatory and procedural matters in the region.


Key Responsibilities

  • Full diary management for the Managing Director and team
  • Schedule a variety of meetings, conference calls, video conferences both internally and externally
  • Arranging international and domestic travel (flights, hotels, cars etc.)
  • Assisting in preparation and printing of presentations & proposals
  • Providing administrative assistance for colleagues from other office locations, who frequently visit the Brussels office
  • Completing corporate card expenses and out of pocket expenses
  • Ordering stationery and office supplies
  • Archiving, filing, scanning and printing documents
  • Preparation and set up of refreshments for internal meetings rooms
  • General adhoc office duties.

Knowledge/Experience/Qualifications

  • Min. 3 years of experience in secretarial support within Corporate and Institutional Relations firms or similar, ideally in MNC Representative Offices, consultancies, embassies, EU institutions
  • Experience working for a global team, including an appreciation of cultural differences and working across different time zones.
  • Minimum secondary education. Bac, bac pro, similar or above education would be an asset

Skills Required:

  • Advanced MS Office including Word, MS Outlook, Excel, PowerPoint
  • Excellent command of English language. Fluency in French would be essential
