The Confederation of European Forest Owners (CEPF) is recruiting an
Office Manager to support its work.

Job description


The Office Manager is responsible for ensuring the effective operation of the organisation, including the areas of finance, administration, and communications.

The Office Manager is mainly expected to carry out the following tasks:

Finance and legal aspects

  • Process, prepare and send invoices, expenses, and payments
  • Make entries to the accounting system (Winbooks)
  • Review and prepare financial reports
  • Cooperate with the external accountant
  • Ensure compliance with financial and other statutory rules and regulations, also through the timely submission of relevant reports and publications

Office management

  • Daytoday office management (mail, office supplies, phone, contact management etc.)
  • Support the team with travel arrangements
  • Communicate with the membership
  • Organise internal and external meetings
  • Take minutes of the highlevel internal meetings

Communication

  • Update and create content to the CEPF website and social media accounts
  • Plan and organise communication activities such as events and campaigns
  • Prepare and send CEPF Newsletter
  • Communication tasks related to projects CEPF is involved in

Job requirements

Personal qualifications

  • Good organisation skills
  • Attention to detail
  • Good writing/editing skills in English
  • Team player, with a positive attitude, sociable and reliable
  • Ability to be selfdriven and work independently
  • Ability to prioritise and to meet tight deadlines

Competencies and skills

  • Excellent level of English. Knowledge of other languages such as French is an asset.
  • Basic knowledge in accounting
  • Familiarity with Belgian administrative procedures
  • Proficiency in IT tools such as MS Office
  • Knowledge and use of Twitter, LinkedIn, Drupal, Mailchimp (Canva is an asset)
  • Skills or experience in communication activities (social media, EU media outreach, eventorganisation, creative design) is an asset

Education and Training

  • University or other relevant degree
  • Minimum 2 years professional experience relevant to the position
  • Experience in working in an EU organisation is an asset
