You report to and support several directors of the Finance department:

  • You handle payment requests, invoices, and purchase orders (related to consultant missions, projects, events, etc.), receipts, and expense reports as a delegate of multiple Finance department directors.
  • You are a trusted advisor to the directors, advising them on team engagement strategies. You regularly assess their team's performance and ensure adherence to the Think Possible culture.
  • You assist directors in practically developing various communication initiatives and contribute, as needed, to writing (intranet posts, newsletters, etc.).
  • You are proficient in three languages: French, Dutch, and English, capable of translating small texts or presentations on quarterly financial results in the absence of the department assistant responsible. You can also handle internal and external phone calls in these languages.
  • You organize meetings with internal/external stakeholders from start to finish: suggesting time slots, arranging meals/drinks, ensuring reception, providing briefings, etc.
  • You autonomously organize your directors' team meetings, potentially preparing meeting reports if requested, and ensure proper followup on action items. You handle Office 365 suite comprehensively and can create compelling presentations based on provided content.
  • You support directors in evaluation and learning tools.
  • You can liaise with our travel agency or plan your directors' trips endtoend using the travel tool.
  • You handle the complete onboarding process for a new director or team member if needed (ordering PCs, badges, explaining Proximus tools, ordering mobile phones, etc.).
  • You can organize team activities/team buildings from start to finish: selecting venues, negotiating with suppliers, handling invoices, liaising with the catering team, etc.

You also assist the Executive Assistant upon request:

  • You process payment requests, invoices, and purchase orders (related to consultant missions, projects, etc.), receipts, and expense reports as a delegate of the CFO in the absence of the Executive Assistant and their backup.
  • You assist the Executive Assistant in organizing major events such as the annual cascade or Finance day in terms of communication, catering organization, presentation, etc.
  • You have a good command of English for communication with the company's CFO in the absence of the Executive Assistant and their backup.
Your Profile

  • You have experience in management secretarial roles.
  • You have excellent organizational skills: you work efficiently, orderly, and structured.
  • Ideally, you have a bachelor's degree in Secretarial-Languages or equivalent experience.
  • You are flexible and resilient to stress.
  • You are discreet.
  • You are creative, proactive, and attentive.
  • You work autonomously and can manage priorities.
  • You have good written and oral communication skills in French, Dutch, and English.
  • You have a good understanding of Office 365 suite, as well as various billing and expense reporting tools.
  • You prioritize teamwork and are dedicated to serving internal and external clients.
  • You are assertive, constructive, and enthusiastic. You embody and live Proximus' values.
