With HQ in Leuven, Xenics plays a key role in the Advanced Imaging business, leveraging high- end technology to serve a wide range of markets and applications, such as science, industry, security, defence, aerospace, medical, R&D and more.
As the company continues to grow and new members join the Exosens Group, the Supply Chain & Procurement team is also evolving. We are looking for a proactive senior Supply Chain & Procurement Specialist to join the team in Leuven. The goal in this job: serving the customer in an optimal way and keeping the inventory on an optimal level.
Job description As a Supply Chain & Procurement Specialist at Xenics, you ensure a seamless product flow from customer order to shipment and invoicing. Reporting directly to the Supply Chain Team Lead, you’ll work with a team of three, covering these critical areas:
- Operational Purchasing & Inventory Management: You will lead RFQ processes, translate demand into purchase plans, and manage inventory by setting key purchasing metrics (e.g. MOQ, EOQ, safety stock) and monitoring supplier performance (on-time delivery, lead time, defect rate). You will collaborate with the Strategic Purchasing Team to develop procurement strategies, such as frame agreements. You will maintain accurate purchasing data in the ERP system, building long-term relationships and ensuring seamless procurement.
- Demand Management & Sales and Operations Planning (S&OP): You will play a crucial role in aligning demand with component supply over the long term. This involves ensuring accurate forecasting from customers is maintained in the system to support Purchasing decisions, especially for items with long lead times.
- Order Management & Sales Coordination: In this role, you will manage incoming orders, coordinate with production and assembly teams on priorities and schedules, send order confirmations, organize shipments, and keep customers updated to ensure a smooth process. Close collaboration with Order Management and Production teams is key to achieving optimum customer satisfaction.
- Export Control Compliance: You will ensure strict adherence to export license regulations and report to the relevant authorities.
- Quality Administration & Compliance: You will oversee efforts related to incoming shipments, demo inventory management, and ensure adherence to quality and regulatory standards.
- You have several years of experience in various Supply Chain functions, preferably in operational purchasing. A bachelor's degree and experience in a low-volume, high-mix B2B production environment would be highly beneficial.
- You are familiar with concepts such as lead times, order confirmations, forecasting, payment terms, and incoterms. Familiarity with export and licensing procedures is an advantage.
- With a strong customer-focused mindset, you aim to exceed expectations and ensure a positive client experience in every interaction with Xenics.
- You are a quick learner who thrives in a self-managing team. Your approach aligns with the "Plan-Do-Check-Act" methodology, and you remain resilient in high-pressure situations.
