As a Software Governance, SaaS & License Management Consultant, you will act as the central owner of the software governance process execution and monitoring.

You will ensure that:

  • All software and SaaS solutions are properly assessed, approved, and inventoried
  • Governance processes are effectively applied, measured, and continuously improved
  • Licenses are controlled, optimized, and aligned with real usage

This is a hands-on coordination and governance role, combining operational rigor with continuous improvement responsibilities.

Key Responsibilities

1. Governance Process Ownership & Monitoring

  • Execute and monitor the end-to-end software and SaaS governance process
  • Ensure that all required security, compliance, procurement, and architecture checks are consistently applied
  • Define and track governance KPIs (e.g., lead time, compliance rate, process gaps)
  • Identify bottlenecks, inefficiencies, and governance gaps
  • Drive continuous improvement of governance processes, tools, and ways of working
  • Promote a pragmatic governance approach balancing control and business agility

2. Software & SaaS Intake Governance

  • Govern the intake of new software and SaaS requests
  • Ensure no tool is introduced without proper approval and validation
  • Challenge requests by identifying existing internal solutions
  • Coordinate and follow up all required reviews and approval.

3. Software Inventory & Data Quality

  • Ensure that all software and SaaS solutions are correctly inventoried and maintained
  • Own and maintain the software catalogue / SaaS inventory, including:
  • Solution details
  • Ownership
  • Approval status
  • Licensing model
  • Lifecycle status
  • Ensure completeness, accuracy, and consistency of inventory data
  • Reduce shadow IT by improving visibility and governance coverage

4. License Management & Optimization

  • Manage licenses under Digital Workplace responsibility
  • Ensure timely renewals and contract follow-up
  • Monitor license usage and identify optimization opportunities
  • Analyze usage reports and drive cost optimization actions
  • Ensure alignment between purchased licenses and actual usage
  • Contribute to license governance best practices and policies

5. Stakeholder Coordination

  • Act as the central coordination point between:
  • Business teams
  • Digital Workplace
  • Architects
  • Information security & data protection
  • Procurement & vendor management
  • Other IT teams
  • Ensure smooth collaboration and timely decision-making
  • Proactively follow up and drive actions to closure

6. Reporting & Continuous Improvement

  • Produce and analyze governance and license usage reports
  • Define and track KPIs for service performance and governance effectiveness
  • Identify trends, risks, and improvement opportunities
  • Improve transparency and reporting for stakeholders and management

7. Documentation & Process Enablement

  • Maintain and improve governance documentation (Confluence, SharePoint, etc.)
  • Ensure processes are clear, accessible, and understood by stakeholders
  • Support integration of governance into procurement and tender processes
  • Contribute to standardization and simplification of governance flows

Requirements:

  • You are able to speak, read and write fluently English and French or Dutch.
  • 3 to 4 years of experience in:
  • IT Governance
  • IT License Management
  • Software/SaaS coordination
  • Strong understanding of:
  • Software/SaaS intake and approval processes
  • Governance frameworks and compliance topics (GDPR, vendor risk, security review)
  • Proven experience with license management or usage monitoring
  • Strong stakeholder coordination skills across multiple domains
  • Strong ownership mindset: proactive, structured, autonomous
  • Analytical mindset with experience in KPI definition and reporting
  • Excellent communication skills (business & IT)
  • Experience with documentation tools (Confluence, SharePoint, etc.)
  • Structured and detail-oriented with strong follow-up discipline
  • Able to manage complexity and incomplete information
  • Hands-on and solution-oriented
  • Strong communicator who can bridge business, IT, and governance topics
  • Focused on both control and continuous improvement
