We are looking for an Administrative and Operational Assistant (f/m/d) to work with one of our senior delivery managers for an International Organisation in the field of supplier management. This role involves providing comprehensive administrative support to ensure the smooth operation of our activities. Key Responsibilities
  • Supplier interface: Collection of monthly time sheets, monitoring assignments in terms of time spent on assignments, checking delivered work volume against purchase orders of the client, managing an internal time sheet application (creating new users etc.), checking invoices from suppliers and reconciling invoices with purchase orders etc.
  • Interface to Accounting: Being the interface between the client, supplier and our internal accounting team. Preparing basic data for invoicing of the managed key accounts etc.
  • Information Management: Manage the flow of information to ensure seamless coordination and operation of activities.
  • Coordination: Facilitate coordination between the operational teams and the internal departments.
Minimum Requirements
  • Language Proficiency: C1 level in English is mandatory. French and German are not essential, however, very advantageous.
  • Experience: First experience in an administrative position. Having fun working with numbers (Excel knowledge is a pre-requisite).
  • Education : ideally in the administrative field or business administration or other relevant areas
