Communications and Events Officer

As part of the Communications and Outreach Department based in our Brussels headquarters, the Communications and Events Officer is responsible for supporting the internal coordination of publications, managing the day-to-day publishing and troubleshooting of Crisis Group’s website, maintaining the Communications Knowledge Base and organising online public events.
**Responsibilities**:
Publications coordination
- Support internal coordination/operations of Brussels communications team relating to the online publications schedule, including updating daily and weekly scheduling documents, website uploading, photo searches, translations, checks on all Launch Call decisions and the mass mailing of publications to our English, French, Spanish, Arabic and Russian audiences**;**
- Support internal coordination of Report Launch Calls with Programs, Advocacy and other relevant departments and sharing action points of the call;
- Assist colleagues in the Communications & Outreach Department as part of a team effort to deliver other communications outputs as needed.
Website support
- Responsible for quality control of website uploads, including checks on footnotes, dates, illustrations, headlines, translations and PDF placement;
- Work with relevant colleagues to ensure that Crisis Group’s online content is kept up to date and regularly refreshed;
- Support website content manager with updates to the website when necessary;
- Train interns and new staff on uploading to the website.
Processes coordination
- Maintain the Communications Knowledge Base ensuring that all of our communications processes, for both the Communications team and the wider organisation, are well documented on the G Drive and suggest improvements if/where needed;
- Work with the Associate Director to ensure that all documented procedures reflect how we currently work, are kept up to date, and correctly linked on the Intranet.
Events management
- Coordinate and manage all the logistics, administrative arrangements and implementation of online events for media, advocacy and public purposes, manage vendor relationships if relevant;
- Produce and/or assign event preparation materials, including but not limited to agendas, invitations, marketing materials, background notes for speakers and hosts, run-of-show, and other documents as relevant;
- Manage all the technical aspects of hosting online events including but not limited to setting up and launching the selected webinar platform, handling waiting rooms, sound tests, and recording;
- Effectively communicate expectations to and coach as needed internal and external stakeholders;
- Proactively plan and execute completion of post-event tasks, including but not limited to event readouts for internal use, thank-you and acknowledgement letters, and event data recording;
- Collaborate with relevant staff in programs, advocacy, development, human resources, and communications teams to ensure events are meeting organisation needs and goals, and take initiative to ensure Crisis Group events are executed in the most professional and innovative manner possible.
**Requirements include**:
- University degree or relevant working experience;
- Proven experience in organising and managing online events;
- Strong organisational and multitasking abilities as well as ability to meet tight deadlines;
- Fluency in spoken and written English;
- Committed to working in a fast-paced, open office environment and a highly collaborative team.
