The Logistics Assistant is an integral part of our Sales & Marketing team based out of our Belgium - Wavre site.

**Key Responsibilities**:
Position: Logistics Assistant
Territory: Belgium
Reports to: Senior Director Operations

Position Purpose:
This position exists to support the Logistics operations within Phibro Animal Health - Belgium. The job consists of the administration and coordination of the logistics operations from order entry to invoice including transportation booking.

Key Responsibilities:

- Administration of customer orders in the ERP system.
- Analyse terms of orders (letter of credit, payment, and delivery terms).
- Allocate product to order in compliance with customer PO and in compliance with internal rules and regulations applicable to veterinary medicines, feed additives and nutritional products.
- Draft and update shipping documents in compliance with national/international rules.
- Issue and check customer invoices.
- Coordinate with third party warehouse the preparation of orders to meet delivery expectations from customer.
- Communicate and coordinate with Chamber of Commerce, Ministry and / or other export services on export documents as required.
- Organise and book transport in order to guarantee the delivery of products on while at all times ensuring compliance with security, safety and quality rules.
- Manage the communication between all the party involved in the supply chain (sales, Technical specialist, Responsible person, Quality manager, warehouse, customs, transport, customer, finance)
- Provide proactive support and reactive support when needed to customers for all queries related to logistics.

Qualifications:

- Ideally be a graduate in administration or logistics.

Skills & Previous Experience:

- Previous experience with a private company in the nutritional, veterinary or medical area is a distinct advantage.
- Experience with ERP i.e. JD Edwards, SAP.
- Intermediate to Advanced knowledge of Word, Excel, PowerPoint and Outlook.
- Ability to prioritise work load and multi-task as well as being well organised and flexible.
- Strong communication skills.
- Able to maintain composure when dealing with stakeholders (internal and external) who may have competing priorities.
- Excellent attention to detail ensuring things are “right first time”.
- French and English languages are essential, any additional language is an advantage.

Willing to work within a small team with a lot of interactions with external colleagues at international level.

- Understand the requirements to operate in a regulated environment i.e. GXP requirements.
