- Job Description
- Overview- Organize the transport of all materials in an optimal manner, by reducing the costs and deadlines and by respecting internal procedures, clients' preferences and export regulations. Issue and follow customs regulations.- Responsibilities- Organization of expeditions (80%)- Receives all shipment/transportation requests from the Purchasing & Subcontracting department and organizes the transport in relation with the priority and availability of material from the manufacturing,
- Receives all packing lists from the order fulfillment for Manufacturing side and verifies that all information is completed and correct, Receives list of equipment from the Services workshop and verifies that all information is completed and correct,
- Contacts the potential partners, compares the offers (cost and deadline), handles the negotiations and selects the partners depending on the destination and based on the packing list and invoice,
- Makes the transportation request and organizes the shipment,
- Prepares all documents (such as proforma invoice, certificate), makes the request for certificate of origin and sends appropriate documents to the Commercial Operations Dept.,
- Checks shipment details before the shipment at the workshop or warehouse,
- Makes the request for customs documents and handles all customs formalities,
- Follows the shipments and sends a claim in case of problem;
- Follows up the bounded warehouse activities.
- Invoicing process (10%)- Initiates the invoicing process in the IT system for the consumables Services,
- Handles the chargeback of all transport costs to the clients and prepares credit notes,
- Makes copies of the invoice and send them to the Accounting department, Intrastat and client,
- Approves invoices from the carriers and splits the costs by project for the Accounting department,
- Participates in the meetings for analyzing letters of credit and transmits all change requests to the Inside Sales department, prepares adequate documents and handles negotiations with the banks.
- Administrative follow-up (10%)- Makes the Intrastat return,
- Handles all customs formalities at products or equipment's receipt,
- Answers the costing requests from the Commercial Operations Dept.,
- Records carriers/transportation companies'
- Ensures appropriate filing,
- Handles express mail every day for all departments in the facilities.
- Experience- Experience in logistics or transport
- Knowledge of international transport regulations and customs modalities is a must,
- Good communication skills in French and in English, able to communicate efficiently with freight forwarders and customs officials,
- Skill in Customer Service is a must
