**VF Corporation **is looking for an exceptional **Sales Coordinator **to join our **Packs (Eastpak, JanSport and Kipling) - Sales Operations **team based in **Antwerp, Belgium.**
**Let’s Talk about the Role**
The Sales Coordinator will manage and continually improve the full end-to-end sample process from order placement to delivery of physical samples to our commercial team and showrooms. You will also play a key role in coordinating sales-admin activities related to the coolest collabs projects (i.e. Eastpak x Andy Warhol, Pleasures, Aries Arise). To better serve the overall sample & collabs strategy, you’ll work in synergy with: Product, Customer Service, Marketing, Sales and Operations teams to keep a consistent vision in place. You will cultivate relationships with these teams to attain common goals.
In this role you'll report to the Senior Manager - Sales Operations.
**How You Will Make a Difference**
You will be leading all aspects of the sample logístical tracking and reporting for the EMEA Packs organization (Eastpak, Kipling, JanSport) and Smartwool brand.
**Sample management**:
- Reviewing the current sample process and provides suggestion for process improvements, as well as system innovation where needed
- Leading the sample buy process (collect country & internal needs, define road set structure, build up the buys and prepare for financial sign off)
- Monitor sample delivery progress versus the sample demands and keep all key stakeholders informed of estimated delivery plans
- Building strong relationships across the organization especially with sales, product, operations, marketing, and warehouse to deliver the best possible outcome
- Plan and prepare sample sales
- Support marketing in showroom setup
**Sample management tools & systems**:
- Manage SAP system:
- Adding sales sample orders
- Collect and key all Carry over sample order
- Release sample orders for shipment
- Obtain and upload UPC’s
- Create and keep all sales sample records and update every season
- Maintain updated sample Master file
- Execute all administration invoicing workload related to sample orders
- Raise credit notes for all sample returns from rep or agents and arrange for sample return to warehouse/outlets or sales as appropriate
**Sales admin for collabs**
Manage the full sales admin collaboration process by:
- Receive brief from merchandising on collabs
- Set up call with collaborations partner to discuss customers priority for: wholesale, subs., and distributors
- Brief sales team with the approved customer's list, deadlines, product presentation and insights
- Compile forecast plan with inputs received from Sales then inform Operations
- Create accounts for collabs partners on our system and submit their orders
- Troubleshooting follow-up with Sales and Customer Service
**Sales Operations team support**:
- Manage standardized reports, provide support for sales campaigns, actions, and promotion
- Create and maintain Terms and Conditions (discounts) in T&C Tool, including campaign setup, customer master data, end of season discount reporting and final check
**Skills for Success**
You should be a self-starter that thrive on accuracy and problem solving multi tasker with a keen ability to prioritize and follow up. You are an excellent communicator with a growth mindset and will continually improve our samples process. On top of this you have:
- A University bachelor’s degree in Sales or Economics is nice to have but we are most interested in your total experience and professional achievements in customer service, sales operations, order management, field logistics or related fields
- You will have strong customer service skills in a similar environment
- Proven experience managing reports, optimizing processes
- Process excellence and ability to create SOP’s (Standard Operating Procedures)
- Proficient in Excel and PowerPoint
- Prior knowledge of SAP is helpful
- Excellent time management and ability to work under timeline pressure
