TNC is present in Europe since 2009, while TNC Europe’ South East Europe Program has been operating since 2018 and its work is aimed towards boosting freshwater biodiversity conservation efforts in the region with local NGO and state actors, with a three-pronged approach: protect rivers from development/socio-economic practices which affect natural river functioning and its biodiversity; restore rivers through the removal of mainly small, obsolete barriers in the river system to boost biodiversity recovery; support the energy planning (renewables) of Western Balkan governments at various levels in order to ensure low socio
- and ecological impacts both in rivers and on land.
**WHAT WE CAN ACHIEVE TOGETHER**:
Southeast Europe is one of our priority conservation geographies in Europe. The Southeast Europe Program Operations Specialist will be a core member of our Europe Business Unit and Southeast Europe program, providing day-to-day management, general operations and programmatic support to the Southeast Europe Program Director and the team. This is a full-time position with a one-year contract with possibility of extension. Place of work is Zagreb, Croatia (home office) or TNC office in Brussels, Belgium. Flexible working arrangements are possible. No relocation or immigration assistance is offered with this position.
**WE'RE LOOKING FOR YOU**:
The Southeast Europe Program Operations Specialist will provide administrative support to the program, by coordinating daily administrative tasks, working in close cooperation with Finance & Operations and Legal teams. They may be responsible for planning and execution of logistics for special events and/or meetings, purchasing, central filing & internal data management, facility management and telecommunications. They may assist with the recruitment, training, and recognition of program staff. In addition, they may perform Information Systems, Human Resources, and Finance administrative tasks, including processing forms, preparing reports and forecasts, and monitoring and preparing budgets. They will respond to inquiries about program activities, create program materials, and draft correspondence. They will be well versed in the systems and resources utilized by the team in order to execute assigned tasks. They will maintain, track and research data, produce and review reports, and perform program analysis. The Specialist will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will provide support and targeted training related to the functional area of the team. They will implement processes and practices in order to improve effectiveness. The Specialist will communicate with staff in various programs across the Conservancy, as well as with donors, volunteers, vendors, and business relations. They will communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow.
**WHAT YOU'LL BRING**:
- Coordinates and supports Southeast Europe team engagement, including team meetings, retreats and travel.
- Planning complex trips and events, working in close cooperation with external travel agencies to ensure everything runs smoothly during trips.
- Preparing logistics of meetings with partners, stakeholders and donors.
- Support team managers and provide coordination, such as assistance with scheduling meetings with TNC staff, stakeholders and partners, circulating materials, notetaking and follow up.
- Ensure programmatic commitments, Conservancy policies and procedures, financial standards, and legal requirements are met and managed for compliance.
- Keep track and manage program records and data (using TNC’s Hub, Box, Smartsheet and other content management software).
- Provide programmatic management support and budget tracking for the Southeast Europe program.
- Travel occasionally, working flexible hours as needed.
**MINIMUM QUALIFICATIONS**
- Bachelor’s degree in Business, Finance, Resource Management or related field and 2 years related experience or equivalent combination, including 2 years proven experience as an Administrator, Administrative Assistant or relevant role.
- Experience coordinating administrative processes and organizing meetings, events and travel;
- Experience with Microsoft Office suite, especially Microsoft Excel.
- Excellent organizational and time-management skills
- Fluency in Bosnian/Croatian/Montenegrin/Serbian and strong command of written and spoken English language.
- Experience working in Southeast Europe countries, and within their administrative, financial and legal frameworks.
- Strong interpersonal and communication skills.
**DESIRED QUALIFICATIONS**
- Experience in Event planning (organization of big events - conferences, meetings, etc.) an added advantage.
